What are the operating hours and earliest access times for events?
The venue cannot accommodate events starting before 8:00am, as confirmed in multiple booking exchanges. Standard venue hire typically runs from 08:00-18:00, though some events can extend later into the evening. Early morning setup from 6:00am is not available.
What is the Day Delegate Rate (DDR) package and what does it include?
The DDR package costs £70-£102 per person depending on the space and requirements. It includes venue hire from 08:00-18:00, standard AV package (lectern, laptop, screen, projector, PA system, 2-3 microphones), dedicated hospitality space, arrival refreshments, mid-morning refreshments, lunch, mid-afternoon refreshments with cake, venue staffing, utilities, furniture setup, free Wi-Fi, and dedicated event and hospitality managers.
What are the capacity limits for different room layouts?
The Woburn Suite accommodates up to 90 people in theatre layout or 50 in cabaret layout. Beveridge Hall can handle up to 160 people in cabaret layout with 20 round tables of 8 chairs each. The Senate Room costs £1,800 for 08:00-17:00 hire and requires catering to be served in the Grand Lobby.
Are there restrictions on room configurations and furniture?
Some rooms have fixed furniture that may not suit all needs - for example, certain spaces have small flip-top tables better suited for tablets rather than laptops. The venue cannot always provide proper desk space for all attendees in classroom format, particularly for groups of 40+ people requiring individual desk space.
What catering options and pricing are available?
Basic refreshments start at £4.75+VAT per person for tea, coffee and biscuits. Working lunch costs £15.50+VAT per person, sharing platters from £19.95+VAT per person, and hot or cold buffet £23.95+VAT per person. A 1-hour Senate drinks package costs £15.95 per person. Additional charges apply for service outside standard hours and on weekends.
What AV equipment is included and what costs extra?
Standard AV includes laptop/PC, data projector, screen, internet access, and 2-3 microphones with PA system in larger spaces. Additional AV requirements must be arranged through ConferenceCast/Torpedo, the approved UoL AV provider. AV technician assistance is included during setup for standard equipment only.
What is the booking process and what forms are required?
All bookings require completion of events application and due diligence forms before quotes can be finalized and handed over to a dedicated event manager. These forms are mandatory for review and approval. The venue can hold dates provisionally while forms are being completed.
Are there significant availability restrictions?
The venue frequently has limited availability due to long-term lease bookings that occupy larger spaces. June 2025 shows no availability, and many enquiries are declined due to lack of space. Alternative dates offered include Tuesday 5th May 2026, Monday 11th May 2025, and Tuesday 12th May 2025 for some periods.
What are the pricing structures for different event types?
Room hire varies significantly: Senate Room costs £1,800 for 08:00-17:00, while other spaces like Woburn Suite show combined rates of £1,400-£2,732.50 depending on duration and catering. Half-day hire (12pm-5pm) for 50 people totals £1,697.50-£2,732.50 including basic catering. All venue hire is VAT inclusive, but catering and services are subject to additional VAT.
