The DDR package costs £70-£102 per person depending on requirements and includes venue hire from 08:00-18:00, standard AV package (lectern, laptop, screen, projector, PA system, 3 microphones, AV technician assistance), dedicated hospitality space, refreshments on arrival, mid-morning refreshments, lunch, mid-afternoon refreshments with cake, venue staffing, utilities, furniture setup, free Wi-Fi, and dedicated event and hospitality managers. Room hire only options are also available, with the Woburn Suite costing £1,400 for 12pm-5pm hire.

The Woburn Suite accommodates up to 90 people in theatre layout or 50 people in cabaret layout. Beveridge Hall can accommodate up to 160 people in cabaret layout with 20 round tables of 8 chairs each. The venue cannot accommodate classroom format for 40+ people due to space limitations from long-term lease bookings occupying larger spaces.

Standard venue hire operates from 08:00-18:00, with some flexibility for earlier or later times depending on availability. The venue cannot accommodate requests for 06:00 start times. Weekend events may incur additional charges for catering and services outside standard hours.

Standard AV package includes laptop/PC, data projector, screen, internet access, and 3 microphones with PA system in larger spaces. For additional AV requirements beyond the standard package, you must contact ConferenceCast/Torpedo, the approved UoL AV provider. AV technician assistance is provided during setup as part of the DDR package.

In-house catering includes tea/coffee with biscuits (£4.75+VAT per person), working lunch (£15.50+VAT per person), sharing platters (from £19.95+VAT per person), and hot/cold buffet (£23.95+VAT per person). A 1-hour Senate drinks package costs £15.95 per person. The venue works with Gather and Gather for hospitality services, and external catering arrangements may be possible but require discussion during booking.

All bookings require completion of an events application form and due diligence form for review and approval before confirmation. These forms must be submitted to be allocated to a dedicated event manager who will respond within two working days with a proposal. The venue can hold dates provisionally while forms are being processed.

Some rooms have fixed furniture that may not be suitable for all requirements - for example, certain spaces have small flip-top tables better suited for tablets rather than laptops. The venue cannot always provide proper desk space for all attendees in classroom format, particularly for groups of 40+ people, due to space and furniture limitations.

Venue hire is VAT inclusive, but catering and security/services charges are subject to VAT. Additional charges apply for weekend catering services. Security costs may apply depending on event requirements. Any AV beyond the standard package will incur separate charges through the approved supplier ConferenceCast/Torpedo.

The venue frequently has limited availability due to long-term lease bookings occupying larger spaces. June 2025 shows no availability, and alternative dates offered include Tuesday 5th May 2026, Monday 11th May 2025, and Tuesday 12th May 2025. Early booking is essential, and the venue often needs to decline enquiries due to lack of availability.
