What are the pricing options and what's included in the Day Delegate Rate package?
The Day Delegate Rate (DDR) is £70.00 per person for a standard package, which includes venue hire from 08:00-18:00, standard AV package (lectern, laptop, screen, projector, PA system, 2-3 microphones, and AV technician assistance), dedicated hospitality space from 08:00-16:00, refreshments on arrival, mid-morning refreshments, sandwich lunch, mid-afternoon refreshments with cake, venue staffing, utilities, furniture setup, free Wi-Fi, and dedicated event and hospitality managers. Additional room hire costs may apply depending on the specific space configuration required.
What room layouts and capacities are available for business events?
The Woburn Suite (G22/26) can accommodate up to 90 people in theatre layout or up to 50 people in cabaret layout. Beveridge Hall offers cabaret seating for up to 160 people arranged as 20 round tables with 8 chairs per table, and includes the Crush Hall as registration space. The venue cannot accommodate classroom format for 40+ people due to space limitations from long-term lease bookings.
What are the venue's operating hours and earliest access times?
Standard venue hire operates from 08:00-18:00, with some flexibility for extended hours. The venue cannot accommodate requests for access before 06:00. Weekend events may incur additional charges for catering and services outside standard operating hours, including Saturdays and Sundays.
What AV equipment is included and what additional options are available?
Standard AV includes laptop/PC, data projector, screen, internet access, and 2-3 microphones with PA system in larger spaces. For additional AV requirements beyond the standard package, you must contact ConferenceCast/Torpedo, the approved UoL AV provider. The venue can provide complimentary basic screen and projector for AGMs, but specialized equipment like hybrid meeting setups require external suppliers.
What catering options and pricing are available?
Catering options include tea, coffee and biscuits at £4.75+VAT per person, working lunch at £15.50+VAT per person, sharing platters from £19.95+VAT per person, and hot or cold buffet at £23.95+VAT per person. A 1-hour Senate drinks package costs £15.95 per person. All catering is subject to VAT charges, and additional charges apply for service outside standard hours and on weekends.
What is the booking process and what forms are required?
You must complete attached events application and due diligence forms for review and approval before any booking can be confirmed. These forms are required to handover to a dedicated event manager and allow for more accurate quoting. The venue can hold dates provisionally while forms are being processed and reviewed.
Are there restrictions on room setup and furniture arrangements?
Some rooms are equipped with small flip-top tables better suited for tablets rather than laptops, which may not be ideal for events requiring proper desk space for writing. The venue has limitations on providing adequate desk space for larger groups due to furniture constraints and space availability from existing long-term bookings.
What are the availability limitations and booking constraints?
The venue has significant availability constraints due to long-term lease bookings that occupy larger spaces. June 2025 shows no availability, and many enquiries are declined due to lack of space. Alternative dates offered include Tuesday 5th May 2026, Monday 11th May 2025, and Tuesday 12th May 2025, indicating limited availability during peak periods.
Can external suppliers and caterers be used?
For AV requirements beyond standard equipment, you must use ConferenceCast/Torpedo as the approved AV provider. The venue works with Gather and Gather for hospitality services, and there's no clear indication that external caterers are permitted. All additional services appear to go through approved suppliers rather than allowing external vendors.
