The DDR package costs £70.00 per person and includes venue hire from 08:00-18:00, standard AV package (lectern, laptop, screen, projector, PA system, 2-3 microphones, AV technician assistance), dedicated hospitality space from 08:00-16:00, refreshments on arrival, mid-morning refreshments, sandwich lunch, mid-afternoon refreshments with cake, venue staffing, utilities, furniture setup, free Wi-Fi, and dedicated event and hospitality managers. Venue hire is VAT inclusive, while catering and services are subject to VAT charges.

The Woburn Suite (G22/26) can accommodate up to 90 people in theatre layout or up to 50 people in cabaret layout. The space can be used as one large venue or divided into breakout rooms, with a dedicated hospitality/catering area at the back/rear of the room. The suite features natural light and flexible setup options for various business events.

Standard AV includes 4K Panasonic projector, 98" 4K Samsung display, laptop/PC, screen, internet access, ceiling-integrated Sennheiser microphones (no handhelds needed), PA system, and AV technician assistance during setup. The suite features fully automated one-touch room setup, assistive listening with Sennheiser Mobile Connect, multiple cameras for live streaming and hybrid functionality, and a powerful Q-SYS audio-visual control system. For additional AV requirements beyond the standard package, you must contact ConferenceCast/Torpedo, the approved UoL AV provider.

Standard venue hire operates from 08:00-18:00, and the venue cannot accommodate requests for access before 06:00. Events requesting venue hire from 06:00 or earlier will be declined. Additional charges apply for catering service outside standard hours, including weekends.

Catering is provided by Gather and Gather, with options including tea/coffee and biscuits (£4.75+VAT per person), working lunch (£15.50+VAT per person), sharing platters (from £19.95+VAT per person), and hot or cold buffet (£23.95+VAT per person). A 1-hour Senate drinks package costs £15.95 per person. The venue has a three-star rating from the Sustainable Restaurant Association, but there's no mention of external caterer policies in the available information.

You must complete attached events application and due diligence forms for review and approval before booking confirmation. These forms are required to handover to a dedicated event manager and allow for more accurate quoting. The venue can block out dates provisionally while you complete the required paperwork, and a dedicated event manager will be assigned once booking is confirmed.

The venue cannot accommodate 40 people in classroom format with proper desk space due to space limitations and long-term lease bookings that have reserved larger spaces. The venue frequently has limited availability, particularly in June 2025 which shows no availability. Alternative dates mentioned include Tuesday 5th May 2026, Monday 11th May 2025, and Tuesday 12th May 2025. Long-term lease bookings occupy many of the larger spaces, significantly limiting availability for certain room configurations and capacities.

The Woburn Suite is equipped with multiple cameras for live streaming and hybrid functionality, ceiling-integrated Sennheiser microphones, assistive listening technology, and a powerful Q-SYS audio-visual control system. The venue can support events where online attendees participate virtually, with screens to display virtual participants and audio systems to facilitate two-way communication between in-person and remote attendees.

Venue hire includes venue staffing, utilities, furniture and setup, free Wi-Fi, cloakroom facilities, dedicated event manager, and dedicated hospitality manager. The space features natural light, built-in PA system, and flexible room configurations. All standard amenities are included in the base hire rate, with additional services requiring separate quotation through approved suppliers.
