What is the minimum number of guests required to book the Events space?
All meeting spaces and banqueting bookings require a minimum of 30 people for meetings and 50 people for banqueting events. Groups smaller than these minimums cannot be accommodated at the venue.
What does the Day Delegate Rate include and how much does it cost?
The Day Delegate Rate starts from £53 per person and includes main suite hire for the day, arrival tea and coffee with mini Danish pastries and fresh fruit, mid-morning tea and coffee with cookies, finger buffet lunch, mid-afternoon tea and coffee, jugs of iced water, projector and screen, flipchart and pens, complimentary Wi-Fi, complimentary car parking, and a dedicated event manager.
Can I bring my own caterer or use external catering for my event?
The venue does not operate on a pure dry hire basis and normally does not allow external catering to be brought on site. However, they work with preferred contracted caterers who can provide catering services, and you must use one of these approved partners to use the venue.
What are the capacity limits for different event setups in the main spaces?
The Diomed suite can accommodate up to 500 people in theatre style and up to 224 people in cabaret style seating. The venue has various other spaces including the Oaks Hall for smaller groups, and breakout rooms with capacities ranging from 24 to 60 people depending on the specific room.
What additional room hire fees apply beyond the Day Delegate Rate?
Additional room hire fees include £1,000 for the mezzanine area, £1,800 for the Downs View suite (60 people cabaret), £1,400 for the Gallops room (48 people cabaret), and £600 for the Double Box room (24 people cabaret). These fees are exclusive of VAT and may be discounted when booking multiple spaces.
What AV equipment is included and what are the costs for additional equipment?
Basic AV including projector, screen, and built-in PA system is complimentary with the Day Delegate Rate. Additional equipment costs include lectern and microphone for £90, standalone microphone for £70, and medium stage for £350, all excluding VAT.
What are the pricing options for evening events and dinner packages?
Evening dinner packages start at £67 per person including VAT, which includes exclusive party suite, non-alcoholic arrival drink, three-course menu, staffing and security, and complimentary car parking. All-inclusive dining packages are available at £76 per person including room hire, glass of bubbly on arrival, three-course seated meal, tea and coffee, and staffing.
Are there restrictions on event sizes that the venue cannot accommodate?
The venue cannot accommodate events requiring 700 guests with 500 seated, as their kitchen facilities in the largest halls cannot service these numbers in seated capacity. Events requiring fewer than 30 people for meetings or 50 people for banqueting also cannot be accommodated due to minimum booking requirements.
What wine and beverage options are available for events?
Half a bottle of wine per person can be added for £18.75 per person, or you can upgrade to bottles of high-end wine. DJ and dance floor services are available for £400 excluding VAT for evening entertainment.
Which days of the week is the sales team available for bookings and inquiries?
The National Sales Manager works Monday, Tuesday, Thursday, and Friday. The venue is part of The Jockey Club group which also manages Sandown Park, Kempton Park, Huntingdon, Market Rasen, Newmarket, and Nottingham racecourses.
