What are the room hire costs for the Library and Studio spaces?
The Library and Studio combination costs £994 +VAT for a 4-hour hire (9:00-13:00) including waiting staff. For full-day hire (9:00-17:00), the cost is £850 +VAT per day for each space. The DDR package at £75 +VAT per person (minimum 25 guests) includes full-day room hire, catering, and waiting staff.
What are the capacity limits for different meeting setups in the Library?
The Library can accommodate up to 26 guests on one large table, 34 guests cabaret style for roundtable discussions, or 50 guests theatre style. The adjoining Studio space can be used for catering, networking, or as a breakout area.
What catering minimums apply for corporate events?
The DDR package has a minimum of 25 guests at £75 +VAT per person. Hot or cold fork buffets have a minimum chargeable of 15 guests, while sandwich lunches have a minimum order of 10 guests. All drinks are charged on consumption with no minimum spend requirement.
What AV equipment is available and what are the costs?
Available AV includes plasma TV (£150 +VAT), conference projector (£250 +VAT), PA system (£300 +VAT), and microphones (£85 +VAT each). An AV technician costs £85 +VAT per hour with a 4-hour minimum and is recommended when using more than 3 handheld microphones or any lapel microphones.
Is the venue wheelchair accessible?
Yes, the building is fully accessible with a lift to access bathrooms and a ramp that is placed outside for wheelchair users. The ramp is set up before guest arrival and again when guests leave.
What does the DDR package include?
The DDR package (£75 +VAT per person, minimum 25 guests) includes full-day meeting room hire, pastries and cut fruit on arrival, 3 servings of tea/coffee/biscuits, bottled mineral water, hot or cold fork buffet lunch, dedicated waiting staff, AC, and WiFi.
Can we use external caterers and what are the additional costs?
External caterers are permitted with a dry hire fee of £600 +VAT (in addition to room hire) which includes use of the ground floor kitchen. However, Asia House will not provide equipment, tables, chairs, linen, cutlery, glassware, or waiting staff - these must be hired separately at additional cost.
What are the standard event hours and any restrictions?
Standard event hours are typically 9:00-17:00 for corporate events. Evening events can extend until 22:00, with late licenses available until midnight for an additional £500 +VAT per hour from 10pm. All prices are +VAT and waiting staff are included in most quotations.
