Frequently asked questions

Room hire rates vary by space: The Ghan Suite (6 people) is £500 per day, Blue Boardroom is £600 per day, and The Orient Suite is £1,500 for afternoon hire (1pm-5:30pm). All rates include VAT, pads, pens, mineral water, sweets, complimentary WiFi, and LCD projector with screen. The Orient Suite also includes natural daylight, air conditioning, and drop-down screen with ceiling-mounted LCD.

Day Delegate Rates start at £75 per person (minimum 14 people) and go up to £90-95 per person for larger groups. The package includes arrival refreshments, mid-morning tea/coffee break, working lunch or restaurant buffet, afternoon refreshments, room hire, stationery, WiFi, dedicated event host, and basic AV equipment (LCD projector, screen, flipchart). Minimum numbers apply for each rate tier.

The Orient Suite accommodates up to 56 cabaret style, 80 banquet, 100 theatre style, or 40 U-shape. The Viceroy Suite seats 21 in boardroom setup. The Ghan Suite seats 6 around a circular board table, while the Blue Boardroom has fixed furniture. Room capacities are strictly enforced and setup styles may be limited by the specific room's configuration.

Evening meetings are not permitted as there are bedrooms on the same floor. The venue appears to operate primarily during standard business hours. Events requiring evening access would need to be discussed separately and may not be accommodated due to the hotel's residential operations.

Provisional holds vary from 2-5 days depending on the booking type. Some quotes specify holds until specific times (e.g., "until 5pm 21st February" or "until Monday 11am"). Confirmation requires a signed contract and payment, with some last-minute bookings requiring confirmation within 24 hours. The venue operates on both "First Option" (priority) and "Shared Option" (multiple parties holding same dates) systems.

Classic rooms are priced at £250-£309 per night including breakfast and VAT for single occupancy, with double occupancy at £265 per night. Rates vary by season and availability. The venue can accommodate group bookings with multiple rooms, and rates may be negotiable for larger group bookings or multi-night stays.

Additional catering includes tea/coffee with snacks at £5 per person per serving. The venue has an on-site restaurant (The Soak) where tables can be reserved for lunch breaks with bills settled on consumption. For private dining, minimum spends apply (e.g., £2,000 for exclusive restaurant use) with buffet menus at £35 per person or 3-course plated menus at £68 per person.

Yes, minimum spends apply for various services. The Orient Suite requires a minimum £1,500 spend on drinks and nibbles when booked for afternoon hire. Private dining in the restaurant requires a £2,000 minimum spend on food and beverage, plus 13.50% service charge on beverages only. These minimums are mandatory and cannot be waived.

Basic AV equipment (LCD projector, screen, flipchart) is included in room hire and Day Delegate Rates. Individual rooms feature plasma screens or ceiling-mounted LCDs. The venue can accommodate presentations and has microphone/PA capabilities, though specific advanced AV requirements may incur additional charges that aren't detailed in the standard packages.

The venue mentions finding alternative venues for clients when they cannot accommodate requests, suggesting some flexibility with external arrangements. However, specific policies on external catering, decorators, or other suppliers are not clearly stated. Approval processes for external vendors would need to be confirmed directly with the venue's events team.

The venue releases bookings when no feedback is received within the specified hold periods. Last-minute bookings (weekend requests or very short notice) are often declined due to handover requirements to the hotel operations team. The meetings and events office is closed weekends, making short-notice bookings difficult to accommodate.

Several rooms feature natural daylight including The Orient Suite, Ghan Suite, and others. All business spaces include air conditioning and wireless broadband internet access. However, one client specifically rejected the Belle room for being "too dark" and lacking sufficient natural sunlight, so lighting levels vary significantly between spaces and should be confirmed during site visits.
