This boardroom is a versatile meeting space suitable for medium-sized meetings. The space can be set-up to your exact requirements with flexible seating layouts available.

The space comes fully equipped with AV and Communications equipment as well as being air-conditioned for your comfort. Located on the first floor, The Rovos Boardroom is nearby to the hotel's facilities and named after South Africa's luxury Rovos trains! This space even has fully adjustable lighting!

Room hire rates vary by space: The Ghan Suite (6 people) costs £500 per day, Blue Boardroom costs £600 per day, and Rovos Suite pricing varies by event size. All rates include natural daylight, air conditioning, wireless broadband, LCD screen/plasma screen, pads, pens, mineral water, and sweets. VAT is included in quoted prices.

DDR packages range from £75-£90 per person per day depending on group size and requirements. The package includes arrival refreshments, mid-morning tea/coffee break, restaurant buffet lunch, afternoon refreshments, room hire, stationery supplies, complimentary WiFi, dedicated event host, and basic AV equipment (LCD projector, screen, flipchart). Minimum numbers typically apply.

The Ghan Suite seats 6 around a circular boardroom table. The Orient Suite accommodates up to 40 in U-shape, 56 cabaret style, 80 banquet, or 100 theatre style. The Viceroy Suite can accommodate 21 in boardroom setup. Room capacities vary significantly based on the chosen layout and specific space.

Evening meetings are not permitted as there are bedrooms on the same floor as the meeting spaces. The venue appears to operate standard business hours, with most events running during daytime hours. Specific operating hours should be confirmed when booking.

Provisional holds vary from 2-5 days depending on the booking type. Some quotes specify holds until specific dates and times (e.g., "until Friday 21st March 10am" or "until tomorrow at 2pm"). Confirmation requires a signed contract and payment, with the venue releasing bookings if no feedback is received within the hold period.

All meeting rooms include basic AV equipment (LCD projector/screen or plasma screen). Flipcharts are available upon request. The venue has hybrid conference systems in some spaces and fully adjustable lighting in the Rovos Boardroom. Additional AV requirements should be discussed during booking.

The venue appears to provide all catering in-house through their restaurant and catering services. DDR packages include restaurant buffet lunch and various refreshment breaks. For events requiring lunch, they can reserve tables in their main restaurant (The Soak) with bills settled on consumption.

The venue cannot accommodate last-minute bookings, particularly over weekends when the meetings and events office is closed. They require adequate time for planning and handover to the hotel team. Site visits can be arranged, and the venue offers both first option (exclusive hold) and shared option (multiple parties holding the same dates) bookings.

However, one customer declined the Belle room specifically because it was "too dark" and they needed "lots of natural sunlight." All naturally lit rooms also include air conditioning and wireless broadband access.

Classic rooms cost £250-£309 per night for single occupancy including breakfast and VAT, with double occupancy rates at £265 per night. Accommodation rates vary by date and season. The venue can coordinate room blocks for multi-day events and meetings requiring overnight stays.
