Frequently asked questions

Room hire rates vary by space: The Ghan Suite (6 people) costs £500 per day, Blue Boardroom costs £600 per day, and The Orient Suite costs £1,500 for afternoon sessions (1pm-5:30pm). All rates include VAT, pads, pens, mineral water, sweets, complimentary WiFi, and LCD screen/projector. The Orient Suite also includes a drop-down screen and ceiling-mounted LCD projector.

Day Delegate Rates range from £75-£95 per person depending on group size and room. The package includes arrival refreshments, mid-morning tea/coffee break, restaurant buffet lunch, afternoon refreshments, room hire, stationery, WiFi, dedicated event host, and AV equipment (LCD projector, screen, flipchart). Minimum numbers typically apply - 14 people for smaller rooms, 30+ for larger spaces.

The Orient Suite accommodates up to 56 cabaret style, 80 banquet, 100 theatre style, or 40 U-shape. The Ghan Suite seats 6 around a circular boardroom table with fixed furniture. The Blue Boardroom has fixed table furniture suitable for boardroom meetings. The Viceroy Suite can accommodate 21 people in boardroom setup.

Evening meetings are not permitted as there are bedrooms on the same floor as the meeting spaces. The venue operates standard business hours and cannot accommodate meetings that would disturb hotel guests. All meeting spaces must conclude by early evening to maintain the hotel's quiet environment.

Provisional holds vary by booking type: First Option bookings are typically held for 2-5 days, while some urgent bookings require confirmation within 24-48 hours (e.g., "latest tomorrow at 2pm"). Confirmation requires a signed contract and payment. Bookings are automatically released if not confirmed within the specified timeframe.

Most meeting rooms feature natural daylight, air conditioning, and wireless broadband internet access. Technical equipment includes LCD screens, plasma screens, or ceiling-mounted LCD projectors depending on the room. The Belle room was noted by one client as "too dark" and lacking sufficient natural sunlight, so lighting levels vary between spaces.

All catering appears to be provided in-house through the hotel's restaurant and catering services. The venue offers restaurant buffet lunches, tea/coffee service at £5 per person per serving, and can reserve tables in The Soak restaurant for lunch breaks. No mention is made of external catering being permitted.

The venue cannot accommodate last-minute bookings, particularly over weekends when the Meeting & Events office is closed. Requests need sufficient lead time for "finalising and handover to the hotel team." Birthday party requests with short notice have been declined due to "time constraint and logistics of handover." Plan to book well in advance of your event date.

Flipcharts are included in Day Delegate Rate packages and some room hire packages. When specifically requested, the venue confirmed flipchart availability. Standard AV equipment includes LCD projectors and screens, with some rooms featuring plasma screens or ceiling-mounted equipment depending on the specific meeting space.

Classic rooms cost £250-£309 per night including breakfast and VAT for single occupancy, with double occupancy rates at £265 per night. Accommodation can be arranged in conjunction with meeting bookings, with rates varying by season and availability. All bedroom rates include breakfast and VAT.
