Dry hire packages start from £10,000.00 inclusive of VAT. This includes basic room hire, pads and pencils, comprehensive Wi-Fi throughout the site, and chilled conference mineral water inside the room. Additional services like AV equipment, catering, and security are charged separately.
What are the Day Delegate Rate packages and pricing?
Day Delegate Rates range from £55.00 to £87.00 per person inclusive of VAT (reduced from standard rates of £129.00-£189.00). The package includes room hire 09:00-17:00, air-conditioned room with daylight, Wi-Fi, water, pastries and smoothies on arrival, energising lunch, unlimited tea and coffee, flipchart, and 3000 lumen LCD projector with 8'x6' screen. All spaces must be vacated by 17:00 or additional de-rig charges apply.
What are the capacity limits for different room setups?
Room capacities vary by space and setup: Grand Hall accommodates up to 400 cabaret style or 650 theatre style, Cornwall Suite holds 200 cabaret or 250 theatre style, Edinburgh Suite fits 200 cabaret or 250 theatre style, and smaller rooms like Dorset Suite accommodate 60 classroom style or 105 theatre style. Boardrooms typically hold 12-24 delegates depending on the specific room.
Are there mandatory security requirements and costs?
Security is compulsory for all events at £29.40 per hour inclusive of VAT. Requirements are based on guest numbers: 1-200 guests require 2 guards, 201-400 guests need 4 guards, and 401-600 guests require 6 guards. There's a minimum 4-hour booking per event, and security must be paid no later than 1 month prior to the event.
What are the ticketed event restrictions?
For ticketed events, all tickets must be pre-purchased and the venue does not allow tickets to be sold on the night. This policy applies to all ticketed events regardless of size or type.
What AV equipment is included and what are additional costs?
Basic package includes a 3000 lumen LCD projector with 8'x6' screen and one flipchart. Additional AV equipment is available at extra cost, including LCD projector and screen upgrades from £195.00 inclusive of VAT. Bigger screen upgrades are recommended for larger events and carry additional charges.
What are the catering options and minimum spends?
Catering includes unlimited tea and coffee at £11.50 per person, energising lunch at £20.95 per person, sandwich lunch at £12.95 per person, bacon/egg baps at £4.95 per person, and Danish pastries at £4.00 per person (all inclusive of VAT). For post-meeting drinks, there's a minimum spend of £3,000-£5,000 inclusive of VAT with at least 50% spent on food.
How long are provisional bookings held and what's the confirmation process?
The venue holds provisional bookings on 'joint 1st option' basis, but these require decisions within specific timeframes. Bookings will be released if no confirmation is received, and the venue actively follows up for decisions. Payment terms require security charges to be paid no later than 1 month prior to the event.
What are the room hire rates for smaller meeting spaces?
Individual meeting room hire ranges from £530.00-£2,200.00 VAT exempt for smaller spaces like Cambridge Suite or Dorset Suite. Syndicate rooms cost £650.00-£680.00 VAT exempt per room. Boardrooms are available from similar rates, with all room hire including basic amenities like pads, pencils, Wi-Fi, and mineral water.
Are there any setup time restrictions or additional charges?
Setup from 06:00-09:00 is typically complimentary for larger events. However, all spaces must be vacated by 17:00 for day events or additional de-rig charges will apply. Early access to rooms may be available for an additional charge, such as £3,500.00 for early access to the Cambria Suite from 17:00.
