What are the minimum venue hire costs and catering requirements?

Minimum venue hire is £8,000 ex VAT for weekend bookings. Catering has a minimum spend of £69.50 per person with a minimum of 250 guests (£17,375 total). For smaller events, there's a minimum catering spend of £2,500 ex VAT based on 100 guests. All prices exclude VAT.

What spaces are available and what are their capacities?

The venue offers multiple spaces including the Assembly Hall (main conference space for up to 600 theatre style), Hoare Memorial Hall (catering and exhibition space), Harvey Goodwin Suite (180 theatre style with ground floor access), Bishops Partridge Hall, and various smaller rooms like the Charter Room and College Room. Spaces can be hired individually or as packages.

What AV equipment is included and what are the costs?

Standard AV packages start from £1,830 ex VAT for smaller rooms up to £4,794 ex VAT for the Assembly Hall. Packages include projectors, screens, sound systems, microphones, lighting, and engineers. The Assembly Hall package includes a 4K laser projector, 8-speaker sound system, stage lighting, and both sound and data video engineers.

How far in advance do I need to book and what dates are typically unavailable?

The venue books well in advance with many dates already fully booked. Popular dates like September 23rd, October 21st, and June 26th 2025 are already unavailable. It's recommended to have flexible dates and book as early as possible, especially for autumn dates which appear to be in high demand.

What catering options are available and what do they cost?

Day Delegate Rates start from £59,400 for 500 guests (£118.80 per person) including room hire, arrival refreshments, mid-morning and afternoon breaks, and two-choice standing fork buffet lunch. Individual catering items include breakfast, coffee breaks, and various lunch options. All catering is provided by their in-house partner.

Are there additional costs beyond venue hire and catering?

Yes, AV packages are mandatory and cost between £1,830-£4,794 ex VAT depending on the room. There may be additional charges for weekend bookings (extra £500 per AV package), setup access the evening prior (£11,940 ex VAT for 3 hours), and optional extras like gallery overflow speakers (£420 ex VAT).

What are the typical event timings and access arrangements?

Standard event hours are 8:30am-5:00pm, with some events extending to 6:00pm or 7:00pm for drinks receptions. Setup access can be arranged the evening prior (typically 6:30pm-9:30pm) for an additional cost. The venue must be cleared by specific times, usually 10:00pm for evening setup.

Can the venue accommodate filming and what special arrangements are needed?

Yes, the venue accepts filming enquiries, but these are handled by a specialist colleague (Ben) rather than the standard events team. Filming requests require separate consultation and likely have different pricing and requirements than standard corporate events.

The venue appears to accommodate various event types including conferences, award ceremonies, Christmas parties, and even boxing events. However, each event type may have specific requirements and the venue team will need to assess suitability. Some events may require special arrangements or have different minimum spends.
