If you’re wanting to go down the corporate route, you could hold meetings, workshops, conferences or even exhibitions at a rooftop bar, depending on the space it has. You could also run a hybrid event; just make sure you liaise with the venue to work out all the details.

How much does it cost to hire a rooftop bar in London?

The cost of hiring a rooftop bar really depends on the venue itself and what’s included in your package. Most venues will offer a private or semi-private hire option, which means you hire out the whole space, or part of it, for your event. This is a great option to add a sense of exclusivity to your events, plus it ensures everyone who is there, is supposed to be there.

If you need it, your package may include a certain amount of food and drinks for the event, too, which will also add to the overall venue hire cost. If you’re planning on making your event hybrid, you may also require technology and technical support, which will also be at an additional cost.

The cost of hiring a rooftop bar in London will also depend on the location and when you want to hire it. For example, hiring a swanky rooftop bar in Knightsbridge during mid-summer will likely be much more expensive than hiring a rooftop in south London during Spring. Decide when you want to hold your event, and then chat to a selection of venues that you like to discuss costings and availability.

What are the main considerations when looking for a rooftop bar in London?

There are a few considerations to think about when looking for a rooftop bar for your event in London.

  1. Firstly, you’ll need to decide what type of event you want to hold. Rooftop bars are great for lots of different styles of events, but what works for some spaces won’t work for others. For example, you’re unlikely to be able to find a venue that can host 3000 delegates for a conference on a rooftop in London! But for a smaller event, or maybe a party, networking event or drinks reception, rooftop venues are perfect. Once you find a venue that you like the look of, be transparent with the venue manager about what you’re hoping to achieve.

  2. Next, you’ll want to choose your date, and be flexible. When it comes to rooftop venues, the time of year is pretty important. Holding a rooftop event in mid-January may not get quite the uptake you’d like! Consider the usual climate and weather conditions for the rough time of year you’d like to hold your event and make sure to have a backup option in case the weather takes a turn for the worse.

  3. Next thing to consider is the cost. Determine your event budget and try to stick to it. The cost of venue hire will vary depending on the location, time of year, and specific day you’re planning to hold your event. For example, holding a summer party at a popular Central London rooftop bar such as Madison’s will definitely cost more than a rooftop party at a lesser-known venue during autumn. It all depends, so do your research and ask the venue when their peak times are too, to try and keep costs down.

  4. The next thing you’ll need to consider is the location you want to focus on. We’ve mentioned a few venues in different parts of the city above, but we suggest either using our free venue search tool or talking to one of our venue experts who will offer you tailored suggestions based on your event brief. Think about where your guests are coming from and how easy it will be for them to get there, and also think about other amenities nearby in case you want to do something else after. Also consider accessibility for any disabled guests, eg is there a lift or is it just stairs?

  5. Another thing to think about is how your event will look and also any extras you’ll need. Do you need any production and where will you set this equipment up? Where will you put your branding? If you’re having catering, is there an in-house supplier or will you need to bring your own? Is there room for entertainment? It’s definitely worth doing a site visit to any venues you consider, as pictures can be deceiving and you’ll want to see how the event will work in person. Bear in mind most venues will offer packages with things like catering, AV and branding, so be sure to ask them about what they can offer when you go on your site visit too.

Can I run hybrid events at a rooftop bar?

Yes! Hybrid events can be done anywhere as long as there is strong wifi, enough power and space for setup. Ask the venue if they use an in-house AV partner or whether you’ll need to outsource, and if so, make sure your supplier has access to the venue when they need it and that there is enough space for them to make it all work seamlessly.

You’ll need to consider the type of hybrid event you’re holding. If you’re holding a presentation where you require a screen, or a speaker is dialling in, be sure not to set it up in a spot where there’s too much sunlight - the in-person delegates won’t be able to see properly! If your speaker is in-person, then make sure the sound and streaming quality is good enough for your virtual attendees to see/hear properly.

If you’re holding an away day, make sure your virtual delegates are able to easily talk with your in-person delegates. We suggest breakout rooms using a platform like Arena with a mixture of virtual and in-person delegates, but again make sure all your delegates can be seen and heard easily and clearly. If there’s wind on the rooftop, then your virtual attendees probably won’t be able to hear very well. What do I do if it rains at my rooftop party?

Rain is probably the biggest threat to the success of a rooftop event. It’s important with any event to have a contingency plan, but for a rooftop event you 100% need to make sure you have a backup in case it rains or suddenly gets super windy and cold. No one wants to stand at an event wet and shivering!

There are a few different options that rooftop venues may offer. They may have a retractable roof, which is probably the best option to quickly and easily resolve the issue immediately. If not, many venues will have semi-covered rooftops (which is also useful in case the sun gets really intense) or even indoor space that can be used as a backup.

Make sure to talk to your venue manager about what they will do if the weather does turn, and be clear on exactly what will happen and when. You should also be aware of the health and safety protocols for this; if lots of people are rushing inside from the rain will the floors be slippy and pose a health risk? These are things the venue needs to have considered to ensure the safety of your guests, so make sure to ask them about it.
