The SHAPE Room is equipped with top-of-the-range technical facilities to support a whole range of events, from debates and lectures to conferences and media presentations.




Frequently asked questions

Venue hire rates vary by room and duration. For example, the Lecture Room costs £1,100 VAT exempt for 9am-12:30pm with organiser access from 8:15am. The Reading Room costs £1,900 VAT exempt for 6pm-10pm with organiser access from 5:15pm. Base hire includes the room space and basic setup, but catering, AV equipment, and additional services are charged separately.

The Lecture Room accommodates business events with theatre-style seating. The Reading Room holds up to 70 guests in standing reception style. The Beatrice Webb Room can seat up to 50 guests in cabaret style or 94 in theatre style, and also includes access to the Gallery and Music Room as catering spaces.

Catering includes refreshments from £3.75+VAT per person for tea/coffee, breakfast options from £6.50+VAT per person, and lunch from £25+VAT per person. There's a minimum evening spend of £1,000+VAT that applies to evening events. Service before 8am incurs an additional £300+VAT per hour charge.

Basic AV packages are available including screens, microphones, and PA systems. A basic package with up to two microphones is offered, with upgrades available for up to 4 microphones and a sit-in technician. Additional options include staging for £350+VAT and enhanced AV packages with dedicated technical support.

The venue has a detailed list of Approved Suppliers for Audio Visual, Production, and Floristry, plus Recommended suppliers. Use of any third-party suppliers outside of this approved list must be agreed in writing by {10-11} Carlton House Terrace before the event.

Standard daytime events typically run 9am-5pm with organiser access from 8:15am. Evening events usually run 6pm-10pm with organiser access from 5:15pm. Additional hours after standard times may incur extra charges, and service before 8am requires a £300+VAT per hour surcharge.

To proceed with booking, you need to provide full signatory details, organisation information, contact details, and address. A signed hire agreement is required, after which a 50% deposit invoice is sent. You must wait to receive the invoice before making payment and quote the invoice number when paying.

Service charges for standard catering are complimentary. However, late catering service after 11pm incurs £300+VAT per hour. Manned cloakroom service is available at additional cost (price on request), while unmanned cloakroom with coat rails is complimentary.

For events requiring multiple spaces, combinations include the Beatrice Webb Room with Gallery and Music Room (first floor), or the Reading Room with shared lobby (ground floor). The venue comprises two former private houses, so room combinations depend on guest numbers and event requirements.
