The package includes full-day meeting room hire (09:00-17:00), pastries and fruit on arrival, 3 servings of tea/coffee/biscuits throughout the day, bottled mineral water, hot or cold fork buffet lunch, dedicated waiting staff, AC, and WiFi.
What are the capacity limits for different room configurations?
The Hutchison Room accommodates up to 20 guests boardroom style. Fine Rooms 1 & 2 combined can hold up to 170 guests reception style, 100 guests theatre style, or 80 guests banquet/cabaret style. The Library accommodates up to 26 guests on one large table or 34 guests cabaret style for roundtable discussions.
What AV equipment is available and what are the costs?
Available AV includes: Conference projector (£250 + VAT), PA system (£300 + VAT), Plasma TV (£150 + VAT), and microphones (£85 + VAT each). An AV technician costs £85 + VAT per hour with a 4-hour minimum and is recommended when using more than 3 handheld microphones or any lapel microphones.
Is Asia House wheelchair accessible and what facilities are provided?
Yes, the building is fully accessible. There is a lift to access bathrooms on lower levels, and a ramp is placed outside the building for wheelchair users during arrival and departure. The Hutchison Room is specifically confirmed as wheelchair accessible, and wheelchair users cannot use a stairlift.
How does catering work and what are the minimum orders?
Drinks are charged on consumption with no minimum spend. For food, the hot or cold fork buffet has a minimum of 15 guests, while sandwich lunch has a minimum of 10 guests. Catering can be set up in adjoining rooms or floated around the main meeting space. Waiting staff are included in DDR packages but not in basic room hire.
What are the standard event timings and setup requirements?
Standard event hours are 09:00-17:00, though evening hire is available. Events typically run 8-9 hours for full-day conferences. Setup time is usually included in the hire period, with guests checking in at reception and accessing cloakrooms before proceeding to their designated rooms upstairs.
Are there any restrictions on external suppliers or special requirements?
For gallery use, you must use Asia House's technician for hanging items on walls, which costs £600 for installation and removal. The venue offers dry hire options for £600 + VAT (including ground floor kitchen access) but this excludes all equipment, furniture, and staff which must be hired separately.
What room combinations work best for different meeting formats?
For meetings with breakout sessions, Fine Rooms 1 & 2 work well with Room 1 for main sessions and Room 2 for catering/networking. For roundtables with media, the Library & Studio combination allows the Library for main discussions and Studio for media representatives or catering stations.
What are the payment terms and booking procedures?
Invoices must be paid before the event date and become overdue if not settled by the event. The venue can place spaces on hold while quotes are being considered. Virtual tours are available online, and physical venue viewings can be arranged by contacting the events team directly.
