What are the room hire costs for the Pier Eight Room and what's included?

The Pier Eight Room costs £995 + VAT for full day hire (08:00-18:00). This includes basic AV equipment (LCD projector, PA system, and WiFi), use of the foyer area for registration or refreshments, and access to the private outdoor balcony. The room can be split into two smaller spaces (Pier Eight 1 & 2) if needed for breakout sessions.

What are the capacity limits for different seating arrangements?

The Pier Eight Room accommodates up to 120 people in theatre style and 64 people in cabaret style. When using full round tables, capacity increases to 80 people. The room can be divided into two smaller spaces for breakout sessions if required.

What catering options are available and what are the costs?

Day delegate packages start from £45.50 + VAT per person (minimum 50 delegates) including arrival refreshments, mid-morning and afternoon tea/coffee breaks, and buffet lunch. Individual catering items include tea/coffee with pastries at £5.25 + VAT per person, tea/coffee with biscuits at £3.25 + VAT per person, and buffet options starting from £16.75 + VAT per person.

What is the booking process and deposit requirements?

After agreeing to proceed, Lowry sends a booking contract that must be signed on pages 3 and 12. Once the signed contract is returned, a deposit invoice is sent for room hire only. The booking is not confirmed until the signed contract is received and deposit is paid.

How does the date holding system work?

Lowry operates on a 'joint first option' basis where multiple clients can hold the same date. When another client expresses interest, all holding parties are notified and it becomes first-come-first-served. Clients who have been holding dates for weeks may have priority status.

Are there minimum numbers required for catering?

Yes, there are minimum catering requirements that vary by room and package. For day delegate packages, there's a minimum of 50 delegates. Specific minimum numbers are included in booking contracts and must be confirmed even if final numbers may change closer to the event date.

What are the standard event timings and can they be adjusted?

Full day hire runs from 08:00-18:00, though specific timings can be negotiated. Half-day rates are available with adjusted pricing. Events can extend beyond standard hours, but this may incur additional costs that would be outlined in the booking contract.

How far in advance should I book and what happens if dates become unavailable?

Popular dates can become unavailable quickly, as evidenced by originally enquired dates becoming unavailable during the booking process. It's recommended to have flexible date options, and Lowry will provide alternative available dates if your preferred dates are no longer available.

What communication channels should be used during the booking process?

Initial enquiries can be made through Hirespace, but once booking proceeds, Lowry prefers direct email communication as the Hirespace platform blocks additional email addresses from being copied in. This ensures all relevant team members can be included in planning communications.

What planning support is provided after booking confirmation?

Once the signed contract and deposit are received, Lowry assigns a dedicated team member to work through event details and planning. This includes coordination with your marketing or events team and detailed planning sessions closer to the event date.
