Frequently asked questions

Room hire rates vary significantly by space and date. Room 204&205 ranges from £850-£1,100 + VAT, Room 201 from £50-£76 + VAT (with 50-60 delegate minimums), and Room 101 at £1,000 + VAT. Most spaces require minimum catering spends ranging from £1,500-£2,700 + VAT depending on the room and event size. DDR packages are available from £50-£89 + VAT per person with delegate minimums typically between 50-100 people.

Room capacities vary by space: Room 201 holds up to 72 people (cabaret style) or 100 people (theatre style), Room 204&205 seats up to 100 people (theatre style), Room 101 accommodates up to 100 people (theatre style) or 72 people (cabaret style), and Room 204 alone seats up to 20 people (boardroom style). The Main Hall can accommodate 200-300 people depending on layout.

Security is mandatory for any events running past 19:00, charged at £25 per hour + VAT per guard with a minimum 4-hour shift. For typical group sizes, one security guard is required, making the minimum security cost £100 + VAT for evening events.

Standard AV includes 85" LCD monitor, 2x 85" LCD repeater monitors, lectern with microphone, mini PC for presentations, Wi-Fi, and AV support. Larger spaces include PA systems, multiple microphones (lectern, roving, lapel, tabletop), LCD projectors, screens, and infra-red hearing systems. An AV technician is provided for Main Hall bookings and larger events.

A 10% deposit is required in advance via card payment to secure bookings. For smaller events, 100% prepayment is required based on contracted minimums. Any additions after the initial contract are invoiced separately or added to the final bill if close to the event date.

DDR packages include arrival refreshments, mid-morning break, lunch, and afternoon refreshments. Sandwich lunch costs £20 + VAT per person, hot fork buffet £36-£42 + VAT per person. Canapés range from £22-£62.50 + VAT per person (4-10 pieces). Bowl food costs £29-£51 + VAT per person (4-6 items). Tea/coffee servings are £4.85-£6.10 + VAT per person per serving.

One-hour drinks reception with house wine, beer, and soft drinks costs £20-£28 + VAT per person (£28 includes Prosecco). Extended bar service requires a cashless or account bar with a minimum spend of £750 + VAT - if this minimum isn't reached, the remainder is added to your bill.

Weekend events incur an additional £500 + VAT staff fee. Evening staffing costs £25 + VAT per hour. Multi-day bookings that block large rooms may require minimum daily catering spends of £1,000 + VAT per day. Some rooms have specific delegate minimums that must be met regardless of actual attendance.

Most room hires include access to corresponding floor catering spaces (1st floor catering space with Room 101, 2nd floor catering space with Rooms 201/204&205). Main Hall hire includes the 3rd floor foyer area and complimentary use of the atrium for morning registration. These spaces are suitable for catering, exhibitions, and pre-event networking.

Standard daytime events typically run 8:00am-5:00pm or 9:00am-5:00pm. Evening hire usually starts from 18:00. Rooms are set up in requested seating style prior to event start. Access times can be confirmed closer to the event date, and early access may be available depending on other bookings in the space.
