What are the minimum booking costs and mandatory fees for film and photo shoots?

The venue has a minimum charge of £2,000 + VAT for any booking, regardless of duration. Even for a 4-hour filming session, this minimum applies. All prices are subject to 20% VAT on top of the quoted rates.

What are the capacity limits and seating configurations available?

The Wolfson Theatre accommodates up to 300 people in auditorium seating for conferences and presentations. For filming purposes, the space can be adapted with flexible configurations to suit production needs.

What are the standard access times and additional charges for early setup?

Standard access is from 7:00am at no extra charge. Earlier access from 5:00am is available at £250 + VAT per half hour or part thereof. Overnight setup after 11:00pm the night before is available subject to application with costs quoted separately.

What AV equipment and technical support is included?

The theatre package includes projection screen, 12,000 lumens projector, conference lectern, confidence monitors, laptops for presentations, multi-input switcher, built-in PA system, 12 microphones (6 cabled, 6 radio), complete theatrical lighting rig, and expert technical support from 8:00am-5:00pm. This AV package costs £2,000 + VAT.

Are there restrictions on event content or topics that must be approved?

Yes, the venue requires knowing the topic of your event to ensure it adheres to the values of the Royal College of Physicians. All events must be approved based on their content and purpose before booking confirmation.

What catering options are available and what are the minimum spend requirements?

Day Delegate Rates start from £84-£105.60 + VAT per person with minimum guarantees of 80-200 delegates depending on the package. This includes room hire, catering space, 3 refreshment breaks, lunch, event manager, cloakroom, and Wi-Fi. Drinks receptions cost £22 + VAT per person for unlimited beer, wine, soft drinks and nibbles.

When is the venue closed and unavailable for bookings?

The venue is completely shut during the entire month of August for soft refurbishment. No events can be accommodated during this period, though weekend dates in early August (6th-7th) may occasionally be available.

What is the booking hold policy and decision timeline?

Space is held on first option initially. If another enquiry is received for the same space, you have 48 hours to make a decision, after which your booking moves to a second option waitlist.

Are there specific budget thresholds that determine venue availability?

The venue regularly declines bookings that don't meet their budget requirements. Based on correspondence, events with budgets significantly below £2,000 are typically not accommodated, and larger events may require substantially higher minimums.

What additional charges apply for catering requests outside standard hours?

An additional charge of £250 + VAT per hour applies for any catering requests before 8:00am. If additional staff are required onsite outside standard hours, prices are quoted separately upon request.
