Frequently asked questions

The Senate Room costs £1,800 for a full day hire (08:00-17:00). This includes the venue hire only - catering, AV equipment beyond the standard LCD projector, and additional services are charged separately. All venue hire is VAT inclusive.

The Senate Room accommodates up to 80 people in a fixed theatre-style configuration with three levels of tiered seating. The seating cannot be reconfigured as it's permanently installed in the original wood-panelled space.

Standard equipment includes one LCD projector and screen. For additional AV requirements beyond this basic setup, you must contact ConferenceCast/Torpedo, the venue's approved AV provider, directly for quotes and arrangements.

All catering must be served in the Grand Lobby as food service isn't permitted in the Senate Room itself. Basic refreshments start at £4.75+VAT per person for tea, coffee and biscuits, working lunch at £15.50+VAT per person, and hot/cold buffets at £23.95+VAT per person. Additional charges apply for weekend service.

The venue cannot accommodate access before 08:00. Standard hire runs from 08:00-17:00, though extended hours may be possible with additional charges. The venue specifically declined a request for 06:00 access, indicating this is outside their operating parameters.

You must complete attached events application and due diligence forms before any booking can be confirmed. These forms are required for review and approval, and must be submitted before dates can be held provisionally or handed over to a dedicated event manager.

The venue uses Gather and Gather as their hospitality partner and there's no mention of external catering being permitted. All catering appears to be provided through their in-house service, with pricing subject to VAT on catering and services.

Contact the events team to check availability, complete the required application and due diligence forms, then wait for approval before receiving a dedicated event manager. The venue frequently has limited availability, with some dates showing no availability until May 2026, so early booking is essential.

The Senate Room is suitable for presentations, ceremonies, AGMs, and similar formal events that work with fixed theatre-style seating. The space cannot accommodate events requiring flexible seating arrangements, classroom setups with desks, or activities requiring floor space.

The venue frequently responds with "lack of availability" and may suggest alternative dates. Recent availability showed options like Tuesday 5th May 2026, Monday 11th May 2025, and Tuesday 12th May 2025, indicating limited availability especially during peak periods.
