The Day Delegate Rate (DDR) package costs £70.00 per person for a standard package, which includes venue hire from 08:00-18:00, standard AV package (lectern, laptop, screen, projector, PA, 2 microphones, AV technician), dedicated hospitality space, refreshments on arrival, mid-morning refreshments, sandwich lunch, mid-afternoon refreshments with cake, venue staffing, utilities, furniture setup, free Wi-Fi, and dedicated event and hospitality managers. Additional costs apply for enhanced catering options and extended AV requirements.

The Woburn Suite (G22/26) can accommodate up to 90 people in theatre layout or up to 50 people in cabaret layout. The venue also offers the Senate Room for £1,800 (08:00-17:00) which works well for AGMs and presentations. Room configurations include cabaret style with round tables, theatre seating, and classroom formats depending on the specific space booked.

Standard venue hire operates from 08:00-18:00, with some flexibility for extended hours. The venue cannot accommodate requests for access before 06:00, and additional charges apply for catering service outside standard hours, including weekends. Setup time is typically included within the standard hire period.

Standard AV package includes laptop/PC, data projector, screen, internet access, and up to 3 microphones depending on room size. For additional AV requirements beyond the standard package, you must contact ConferenceCast/Torpedo, the approved UoL AV provider. This includes enhanced sound systems, additional screens, recording equipment, and hybrid event capabilities.

In-house catering includes tea/coffee with biscuits (£4.75+VAT per person), working lunch (£15.50+VAT per person), sharing platters (from £19.95+VAT per person), and hot/cold buffet (£23.95+VAT per person). A 1-hour Senate drinks package costs £15.95 per person. The venue appears to primarily work with their hospitality partner Gather and Gather, and external catering arrangements would need to be discussed directly with the venue.

All bookings require completion of an events application form and due diligence form before quotes can be finalized and handed over to a dedicated event manager. These forms are mandatory for review and approval processes. The venue can hold dates provisionally while you complete the required paperwork, and a dedicated event manager is assigned once booking is confirmed.

The venue has limited capacity for classroom format with desk space - they cannot accommodate 40 people in classroom format due to space constraints from long-term lease bookings occupying larger spaces. Some rooms are equipped with small flip-top tables better suited for tablets rather than laptops, so proper desk requirements need to be specified when booking.

The venue frequently has limited availability, particularly in June 2025 which shows no availability. Alternative dates offered include Tuesday 5th May 2026, Monday 11th May 2025, and Tuesday 12th May 2025. Long-term lease bookings occupy many of the larger spaces, which can limit options for certain event formats and sizes.

Half-day hire (12pm-5pm) for the Woburn Suite costs £1,400 for room hire plus catering costs. A 50-person event with afternoon refreshments totals £1,697.50, while adding morning refreshments and drinks package increases the total to £2,732.50. Venue hire is VAT inclusive, but catering and additional services are subject to VAT charges.

The venue accommodates filming projects including courtroom setups and commercial shoots. The Senate Room is available for filming with rates and restrictions that need to be discussed directly with the sales team. Filming enquiries require specific details about crew size, equipment needs, and production requirements to receive accurate quotes.
