What AV equipment is included for screening events and what are the technical specifications?

The auditorium features a 4K HD projector, LED lighting, and surround sound system. An AV technician booth is located at the back of the room where technicians provide technical support throughout your event. Additional AV equipment can be hired - check the AV rate card for specific items and pricing.

What are the Day Delegate Package rates and what's included for screening events?

Day Delegate Package rates are £99.00 + VAT per person for Tuesday-Thursday and £93.00 + VAT for Friday-Monday (2026 rates). This includes room hire, catering space, registration desk, dedicated AV technician, arrival refreshments, mid-morning and afternoon breaks, hot/cold buffet lunch, standard AV equipment, and Wi-Fi access. Minimum 180 delegates required.

Can I hire just the auditorium without catering for a private screening?

Yes, the Guy Whittle Auditorium can be hired separately. Based on similar spaces at the venue, expect rates around £3,000-£4,000 + VAT for full day hire. The catering space (Atrium and Cavendish) is included with Day Delegate Packages but may be available separately for room-only bookings.

Evening events can run until 10pm, with service ending at 10pm to allow guests to wind down for departure. The venue has availability from 6:30pm-10pm for evening events. Access times may vary depending on other events in the building.

What catering options are available and what are the minimum numbers?

Catering is charged per person, per serving: tea/coffee with biscuits £4.30, networking nibbles £6.00, 6 canapés per person £23.00, working lunch £26.25. House wine is £25.50 per bottle, beers £5.00 per bottle. Minimum chargeable numbers are typically 90 people for most catering options, with some items requiring 15-30 minimum.

Can I bring external food or equipment for my screening event?

No external food or drink is allowed into the venue. All catering must be provided by 1 Wimpole Street's in-house team. For AV equipment, the venue has comprehensive facilities included, but you should check with the events team about any specific technical requirements for your screening.

How long are quotes valid and what is the booking process?

Quotes are valid for 5 days and the venue does not automatically hold space when providing quotes. If you want to secure the space temporarily while deciding, you must specifically request a hold. Site visits can be arranged to check the suitability of the auditorium for your screening requirements.

Are there any restrictions on event types or content for screenings?

The venue may decline certain types of events - they have refused some enquiries without providing specific reasons. For events requiring overflow capacity, the Max Rayne Auditorium (146 seats) can be hired additionally for £3,900 + VAT. Hybrid packages are available from £1,480-£3,240 + VAT to stream between auditoriums. The venue also offers registration desks, cloakroom facilities, and has an on-site hotel (Domus Medica) for attendee accommodation.
