All meeting spaces require a minimum of 30 people to book. For banqueting bookings, the minimum is 50 people. Groups smaller than these minimums cannot be accommodated.
What is the Day Delegate Rate pricing and what does it include?
The Day Delegate Rate starts from £53 per person plus VAT. This includes main suite hire for the day, arrival tea and coffee with mini Danish pastries and fresh fruit, mid-morning tea and coffee with cookies, finger buffet lunch, mid-afternoon tea and coffee, jugs of iced water, projector and screen, flipchart and pens, complimentary Wi-Fi, complimentary car parking, and a dedicated event manager.
Can I bring my own external catering to Epsom Downs Racecourse?
External catering is not normally allowed on site. However, the venue works with preferred contracted caterers who can provide catering services. You must use one of their approved catering partners rather than sourcing your own independent caterer.
Does Epsom Downs Racecourse offer dry hire options for events?
No, the venue does not sell on a pure dry hire basis. All bookings must include catering services through their in-house team or approved contracted catering partners. Room hire and catering are packaged together through their catering partners.
What are the capacity limits for the main event spaces?
The Diomed suite can accommodate up to 500 people in theatre style layout or 224 people in cabaret style. The venue cannot accommodate events requiring 700 guests with 500 seated, as their kitchen facilities and largest halls are not equipped to service these numbers.
What additional room hire fees apply beyond the Day Delegate Rate?
Additional room hire fees include: Mezzanine area at £1,000 plus VAT, breakout rooms such as Downs View Suite at £1,800 (often discounted to £1,000), Gallops at £1,400 (often discounted to £800), and Double Box at £600 (often discounted to £300). Catering space hire may cost £2,000 plus VAT.
What AV equipment is included and what are the costs for additional items?
Basic AV included in the Day Delegate Rate consists of projector, screen, and built-in PA system. Additional AV costs are: lectern and microphone £90 plus VAT, standalone microphone £70 plus VAT, and medium stage £350 plus VAT.
