What are the room hire costs for Fine Rooms 1 & 2 and what's included?
Fine Rooms 1 & 2 combined cost £2,300 + VAT for a full day (09:00-17:00). This includes basic room hire only - waiting staff and additional tableware are not included and cost extra. The rooms can accommodate up to 170 guests reception style or 80 guests banquet style for seated meals.
What is the Day Delegate Rate (DDR) package and what does it include?
The DDR package costs £75 + VAT per person with a minimum of 25 guests (some quotes show minimum of 40 guests). It includes full-day room hire, pastries and fruit on arrival, unlimited tea/coffee/mineral water, mid-morning and afternoon breaks with biscuits, hot or cold fork buffet lunch, projector/screen/flipcharts, dedicated waiting staff, A/C and WiFi.
What are the capacity limits for different room configurations?
Fine Rooms 1 & 2 combined accommodate up to 170 guests reception style, 80 guests banquet style, or 100 guests theatre style. The Hutchison Room holds up to 20 guests boardroom style. Individual Fine Room 1 can hold up to 100 guests theatre style or 80 guests on round tables for dining.
What AV equipment is available and what are the costs?
Conference projector costs £250 + VAT, PA system £300 + VAT, microphones £85 + VAT each, and plasma TV £150 + VAT. An AV technician costs £85 + VAT per hour with a 4-hour minimum and is recommended for more than 3 microphones or when using lapel microphones.
What are the catering minimums and pricing structure?
Hot or cold fork buffet has a minimum of 15 guests, sandwich lunch has a minimum of 10 guests. Drinks are charged on consumption with no minimum spend. A 3-course festive meal costs £50 + VAT per person. All catering prices exclude VAT.
Is the venue wheelchair accessible and what facilities are provided?
Yes, the building is fully accessible with a lift to access bathrooms and a ramp placed outside for wheelchair users during arrival and departure. The Hutchison Room is specifically confirmed as wheelchair accessible, and wheelchair users cannot use a stairlift.
What are the evening hire rates and late license options?
Evening room hire for Fine Rooms 1 & 2 with waiting staff costs £2,138 + VAT. A late license can be acquired until midnight for an additional £500 + VAT per hour from 10pm. Standard venue hours appear to end at 10pm.
What external catering policies and additional fees apply?
External caterers are permitted with a dry hire fee of £600 + VAT on top of room hire, plus use of ground floor kitchen. Corkage charges apply: £12 + VAT per wine bottle, £15 + VAT per champagne bottle, £1 + VAT per beer bottle. Tables cost £12 + VAT and chairs £3.50 + VAT each when not using venue catering.
What are the booking and payment requirements?
Payment must be made before the event date and invoices become overdue if not paid promptly. The venue can place spaces on hold while quotes are being considered. All prices quoted are exclusive of VAT unless specifically stated otherwise.
What additional spaces are available for breakout sessions or exhibitions?
The Gallery (lower ground floor, 18m x 5.5m) costs £580 + VAT per day and requires a technician for wall hanging at £600 + VAT for install/deinstall. Library & Studio combination costs £994 + VAT for half-day hire and can accommodate up to 34 guests cabaret style or 26 guests on one large table.
