What are the room hire costs and minimum spend requirements for each event space?

The Conservatory costs £1,500 room hire with a £1,500 minimum catering spend. The Charles Suite is complimentary with an £1,800 minimum catering spend. The Royal Suite requires a £950 room hire fee with an £8,000 minimum catering spend. The Library costs £500 room hire with a £1,000 minimum catering spend.

What are the capacity limits for each event space and seating arrangements?

The Conservatory seats up to 40 for lunch on round tables or 30 on one oval table. The Charles Suite accommodates up to 50 guests on 10 round tables or up to 30 guests on one oval table. The Royal Suite can accommodate up to 50 guests in U-shape style. The Library accommodates up to 30 guests for a standing reception.

What AV equipment is available and what are the costs?

A 55-inch plasma screen with HDMI connection costs £100 per day. Microphones (handheld and/or lapel) cost £50 each or £30 for the Conservatory. PA system and flipchart with pens are included complimentary with day delegate packages. Logitech MeetUp for Teams calls costs £300, and podiums are sourced externally for approximately £1,000 including VAT.

What are the day delegate package rates and what's included?

Day delegate rates range from £65-£95 per person depending on the space and guest numbers. Packages include exclusive room hire, buffet lunch, up to 3 refreshment breaks, jugs of iced filtered water, delegate stationery, WiFi, and basic AV equipment. Minimum guest numbers typically apply (25-50 guests depending on the space).

What are the food and beverage pricing and service charges?

Buffet lunch costs £45 per person, afternoon tea £75 per person, and three-course private dining £95 per person. House wine starts from £44-£50 per bottle, Champagne from £110, Prosecco £55, bottled beers £10 each, and soft drinks from £6. A discretionary 15% service charge is added to all final invoices.

How long are quotes valid and what is the booking hold policy?

All quotes are valid for 5 working days only. The venue does not hold any space during the quotation process - availability remains subject to change until a booking is confirmed. Enquiries are typically released if no response is received within specified timeframes (usually 5-7 working days).

What are the accommodation rates and booking process for guests?

Classic Double Rooms cost £390-£420 per room per night including VAT and complimentary full English breakfast, based on single occupancy. Rates require a minimum of 10 rooms per night and are valid for 5 days. Guests must email the group reservations department directly and mention the event name to book rooms.

Are there any timing restrictions or additional room hire requirements?

Afternoon tea service ends at 5pm. Rehearsal rooms like the Library cost £600 for sessions such as 3pm-5pm. Some spaces may require additional rooms for larger groups - for example, 110 guests would need both the Butlers restaurant (100 guests maximum) and the Conservatory (40 guests) combined.

What Christmas and special event packages are available?

Christmas packages typically start at £150 per person, but special rates can be negotiated. A tailored Christmas package was offered at £90 per person (minimum 100 guests) including exclusive use of two spaces, 2-course festive menu, half bottle of house wine, chair covers, tea lights, personalized menus, and place cards.

What are the payment terms and contract procedures?

All rates are inclusive of VAT at the current standard rate. If any element of the brief changes, quotes must be revised accordingly. The venue uses digital proposal systems for contract management, and proposals can expire if not responded to within the specified timeframe.
