What is the Day Delegate Rate pricing and what does it include?
The Day Delegate Rate is £69.00 per person (reduced from £99.00) with a minimum of 120 delegates. This includes main meeting room hire, arrival tea and coffee with pastries, mid-morning tea and coffee with cookies, afternoon tea and coffee with cake, 2-course buffet lunch, projector and screen, flipchart with markers, pads/pens/paper, Wi-Fi, signage, dedicated event planner, and dedicated event manager on the day.
How does the booking hold system work and what are the confirmation requirements?
Bookings are typically held on a 'Joint 1st option' basis, meaning other clients may be holding the same space on the same day. The first client to confirm gets exclusive use of the space, but the contract must be returned within three working days of confirmation to secure the booking.
What are the standard operating hours and additional time charges?
All rates are based on a maximum 8-hour hire period, normally from 09:00 to 17:00. Hourly supplements and overnight hold charges may apply for additional time beyond the standard 8-hour period.
What AV equipment is included and what are the additional charges?
One projector and screen is included in the Day Delegate Rate. Additional AV equipment includes: stage blocks at £54.00 each, PA system at £245.00-£350.00, microphones at £66.00 each, lectern at £64.00, AV technician at £550.00 (maximum 8 hours, mandatory for 2+ microphones), and external AV supplier fee at £750.00.
What are the minimum spend requirements for drinks receptions?
Minimum spend requirements vary by space and event type. Examples include £3,000.00 inclusive of VAT for smaller receptions, £5,000.00 inclusive of VAT plus 12.5% service charge for rooftop events, and £7,000.00 inclusive of VAT (50% spend on food) for larger outdoor spaces.
What room capacities are available for different event layouts?
The Milton Suite accommodates up to 200 in theatre layout, 150 in theatre (with reduced pricing), and 120 in cabaret layout. The Blackfriars Suite holds maximum 6 in boardroom layout. Leo's Balcony accommodates up to 100 people with a £4,000.00 minimum spend on food and beverage (50% on food).
Are there additional charges for setup and breakdown outside standard hours?
Yes, setup the evening prior costs £2,000.00, and de-rig from 5:30pm until 23:00 costs £2,000.00. Complimentary access from 4pm on the day of the event is available for some bookings, but extended setup/breakdown times incur additional charges.
What catering spaces and dining options are available?
Catering is served in designated areas including Refreshment Area 1 for tea/coffee breaks and Leo's Restaurant for buffet lunches. The venue offers 2-course buffet lunch as standard, with working lunch options available (selection of sandwiches with small hot items served in refreshment space).
What are the policies for music and noise restrictions?
For outdoor events, loud music must be turned down at 8pm, with soft background music allowed until 11pm. Events must end by 11pm (carriages at 11pm). Hotel music plays by default, but you can hire the PA system at £300.00 to play your own music.
How far in advance do bookings need to be confirmed and what happens if no response is received?
Decision deadlines are typically given with specific dates and times (e.g., "by 12.00 on Tuesday 27th May 2025"). If no response is received by the deadline, the venue assumes the space is no longer required and automatically releases the booking to other interested clients.
