Frequently asked questions
What are the booking hold periods and when do provisional options expire?
Provisional bookings are typically held for 7 days from the quote date. If you don't confirm and sign a contract within this timeframe, the space will be automatically released. Some quotes may have shorter validity periods of 2 days, so check your specific proposal carefully.
What is the commission structure for bookings made through agents?
The Cumberland pays 10% commission on the gross rate for bookings made through agents or intermediaries. This commission is calculated on the total venue hire and catering costs before VAT.
How much advance notice is required for external catering approvals?
External catering requires at least two weeks advance notice to secure necessary approvals. For events with shorter notice periods, you'll need to use the venue's in-house catering services. A signed form is required if bringing simple items like sandwiches.
What are the requirements for bringing your own AV equipment?
If you want to supply your own AV equipment, each item must be provided with a PAT test certificate, RAM test, and liability insurance documentation. There's no additional cost for using external AV equipment if you provide these required forms.
What AV equipment and services are available, and what are the costs?
Basic room hire includes 85" TV with HDMI cable, screen, LCD projector, and flipchart. Additional AV services from trusted suppliers include PA systems from £650-£750, microphones from £90-£100 each, AV technicians from £650, and large conference live streaming equipment from £3,300-£3,500 per day.
What catering options are available and what are the minimum spends?
Catering options include unlimited tea/coffee (£17.50 per person), sandwich lunch (£17.50 per person), restaurant lunch (£29 per person), and various breakfast items from £3.50-£22 per serving. Some spaces have minimum food and beverage spends, such as £2,500 for Remix 1+2 or £4,000 for evening events.
Are there different pricing structures for different times of year?
Yes, pricing varies by demand and availability during different periods. October availability is very limited and results in higher costs. The venue cannot reduce day delegate rates during high-demand periods, and room hire rates may be reduced from standard prices during quieter times.
What are the typical room hire rates for different spaces?
Room hire rates vary significantly by space and demand. Examples include £450-£550 per day for smaller meeting rooms, £1,350-£2,950 for mid-size spaces like Studio 1, £3,150-£5,000 for larger spaces like Remix 1+2, and £5,000-£6,500 for The Arena exhibition space.
What is included in the standard room hire package?
Standard room hire includes complimentary WiFi access for all delegates, still and sparkling mineral water, 85" TV with HDMI cable, one flipchart with pads and pens, and VAT. Some packages also include screen and LCD projector depending on the space.
What are the contact details and location information?
The Cumberland Hotel is located at Great Cumberland Place, Marble Arch, London, W1H 7DL, just 20 yards from Marble Arch Tube Station. The events team can be reached at +44 (0) 207 523 5053, and the venue has a private entrance and lift access separate from the main hotel.
