What are the capacity limits for different room configurations?
City Suite 1 accommodates up to 150 people in cabaret style or 100 people for standard meetings. City Suite 2 has a capacity of 96 delegates in cabaret layout. City Suite 2-3 combined can accommodate up to 96 delegates in cabaret setup with access to an outdoor terrace.
Are outside caterers permitted for events?
No, outside caterers are not allowed. All catering must be provided by the venue's in-house catering team.
What additional costs should I expect beyond the base room hire?
Additional costs include: breakout rooms at £1,000 plus VAT (City Suite 2), drinks reception at £21-£22 per person plus VAT for unlimited house wine/beer/soft drinks, canapes from £20-£28 per person plus VAT, and bowl food from £35-£49 per person plus VAT. Free-standing projector and screen incur additional costs if room layout changes require it.
What are the minimum spend requirements for exclusive use of spaces?
The River View Lounge requires a minimum food and beverage spend of £5,000 to waive the exclusive room hire fee. Other spaces like City Suite foyer require a minimum spend of £20 plus VAT per person for evening use from 18:00-19:30.
What AV equipment is included and what costs extra?
Inbuilt projector and screen with HDMI connection are included in Day Delegate Rates or available for £140 plus VAT per day as an add-on. Free-standing projector and screen incur additional costs if required due to room layout changes or increased numbers. Full AV packages for larger events are quoted separately.
How far in advance do I need to confirm my booking?
For short lead bookings, confirmation is typically required within 2-3 days of the proposal. Standard bookings are held as 'joint first option' with decision deadlines specified in proposals. The venue releases space if no confirmation is received by the stated deadline.
What information do I need to provide when making an enquiry?
You need to specify: event date and times, number of attendees, room setup requirements (cabaret, theatre, etc.), catering needs, AV equipment requirements, whether accommodation is needed, your budget, and the industry/purpose of your event. Events in the River View Lounge can run until midnight with music up to 80db permitted until 23:00, after which only background music is allowed. Security is mandatory for evening events - 2 officers required for up to 100 guests, 3 officers for 101+ guests, at £35 plus VAT per hour per officer.
