Four Swans is one of our larger meeting rooms, located in Meeting Place, our meeting rooms floor located on Level 5.

Floor to ceiling windows provide the room with lots of natural daylight, and an 85inch 4k LED screen and webcam are included.

We can accommodate board meetings, training events, seminars and private dining up to 30 guests.

Meeting Place can be privatised to provide an exclusive hire of the floor of five meeting rooms, plus a catering breakout area.

Newton private dining room charges £500-£950 room hire per day (discounted to £700 for multi-day bookings). Four Swans meeting room costs £3,600 per day. Food and beverage minimum spends range from £1,300 for Newton (10-12 people) to £2,000-£4,500 for larger spaces, all inclusive of VAT but excluding 12.5% service charge.

Newton accommodates maximum 12 people in boardroom style. Four Swans holds up to 30 guests for meetings, training, or seminars. The Pacific Ballroom can handle up to 400 people theatre style for larger conferences and corporate events.

Standard business meeting access is typically 08:00-17:00 or 09:00-17:00, with flexibility available upon request. Day delegate rates include hire from these standard hours, with earlier access from 06:00-07:00 available for larger conferences requiring setup time.

Full payment is required upfront with a signed event agreement to guarantee your booking. Cancellations within 30 days incur charges equivalent to the minimum spend or room rental fee, while cancellations more than 30 days in advance receive full refunds.

If guest numbers reduce within 7 business working days of your event, the hotel reserves the right to charge for food and beverage costs based on the original requirements. Pre-orders must be placed no later than 7 business working days before the event date.

Four Swans includes an 85-inch 4K LED screen and webcam facility. Newton features a 65-inch AV screen with video conferencing capability. All meeting spaces include WiFi, with additional AV equipment like TV screens available for £325 extra.

Day delegate rates range from £160-£195 per person including arrival breakfast, mid-morning refreshments, working buffet lunch, and afternoon refreshments. Individual breakfast packages cost £45-£54 per person. Coffee breaks are £9.50 per person, and 2-3 course lunch menus range from £70-£98 per person.

No, the minimum spend on food and beverages cannot be combined with any other services at Pan Pacific London such as accommodation or spa services. Any additional charges beyond the minimum spend must be settled by the primary host on the day of the event.

All business meeting spaces include complimentary WiFi, name cards, customised menus, cloakroom service, blotters, note pads, pens, and still/sparkling mineral water. Larger conference bookings include private entrance, manned cloakroom, pre-function catering areas, and VIP rooms.

Meeting rooms can accommodate various setups including boardroom, cabaret, and theatre style depending on the space. Meeting Place (Level 5) can be privatised for exclusive hire of five meeting rooms plus catering breakout area. Multi-day bookings receive discounted rates.
