What security requirements apply and what are the costs?
Security is mandatory for all events over 50 guests at £30 per hour with a minimum 6-hour requirement. For 50-100 guests, one security officer is required, meaning a minimum cost of £180 per event.
What are the Day Delegate Rate packages and what do they include?
Day Delegate Rates are available at £120 per person per day with minimum chargeable numbers of 90 attendees. The package includes three extensive coffee breaks, three-course hot and cold working buffet lunch, still and sparkling water during meetings and breaks, main meeting room hire, stationery box, dedicated Events Executive and Event Manager, and complimentary high-speed wireless internet access.
What AV packages are available for screenings and presentations?
The May Fair Theatre offers a Screening Package at £2,200 inclusive of VAT and a Q&A Package at £650 inclusive of VAT. For other spaces, AV packages are available at £2,520 per day, though specific details of what's included require reference to the AV brochure.
What are the capacity limits for different room setups?
The May Fair Theatre accommodates up to 201 guests, while the Crystal Ballroom holds 230 guests in theatre setup. The largest space available can host 220 guests only in theatre layout - seated functions for 220 delegates cannot be accommodated.
How long are quotes valid and what is the booking hold policy?
All rates are valid for 5 working days only. Quotes are typically offered as 'joint options' meaning the space is offered on a first-come-first-serve basis to multiple clients on the same dates. Spaces are not automatically held and clients must specifically request a provisional hold to secure dates.
What additional costs apply beyond room hire and minimum spend?
A 10% service charge applies to all food and beverage spend (excluded from minimum spend calculations). Breakout rooms cost £2,000 each inclusive of VAT. All rates are subject to the venue's Terms & Conditions, and Edwardian Hotels London reserves the right to re-quote if proposals aren't accepted within the validity period.

Events typically run during standard business hours with access from 18:30 onwards for evening events. Setup time can be arranged from earlier in the day (such as midday for evening events). The venue operates Monday to Friday 09:00-17:30 and is closed during Bank Holidays.

The venue offers 15 elegantly designed meeting rooms accommodating up to 370 guests total. Breakout rooms are available at £2,000 each inclusive of VAT.
