Frequently asked questions

Room hire rates vary by space: Canterbury Suite (65 sqm, up to 50 banqueting/48 classroom) and Thames Suite (72 sqm, up to 30 classroom) are £1,600 inc VAT per day (reduced from £3,200). Regency Suite (120 sqm, up to 50 cabaret/60 banqueting) is £2,500 inc VAT per day. All rates include room hire, pads, pens, mineral water, sweets, complimentary Wi-Fi, TV screen with HDMI or LCD projector & screen, flipchart, and dedicated event planner.

Day Delegate Rate packages are £80-£96 per person (reduced from £95-£110) with minimum 45 people. This includes arrival tea/coffee with refreshments, mid-morning tea/coffee break, working buffet lunch, afternoon tea/coffee break, room hire, stationery, Wi-Fi, LCD projector, screen, flipchart, and VAT. Unlimited tea & coffee throughout the day is available separately at £15 per person.

Canterbury Suite: 50 banqueting, 48 classroom. Thames Suite: 30 classroom. Regency Suite: 50 cabaret (may be slightly tight), 60 banqueting. Ballroom Suite: 50 cabaret, 120 banqueting, 170 theatre style. For events requiring larger capacity, the Ballroom requires a room hire supplement of £3,500 per day in addition to delegate rates.

Standard AV included: TV screen with HDMI connection or LCD projector & screen, flipchart, complimentary Wi-Fi. PA system with 2 wireless microphones costs £250 inc VAT (Ballroom only). For advanced AV needs like live streaming, hybrid events, or additional equipment, you must use the hotel's designated supplier or bring your own (requiring PAT test, public liability, and RAMS forms).

Final event details must be submitted by noon on the Friday before your event (typically 4-5 days prior). Any modifications requested after this deadline will be subject to availability. Menu choices for catered events must be confirmed at least 14 days prior to the event date.

Provisional holds are typically 1 week on shared option (multiple clients may hold the same date). Cancellation charges: 52-12 weeks prior: 30% of charges, 12-8 weeks: 50%, 8-4 weeks: 80%, within 4 weeks: 100%. The venue reserves the right to release space if not contracted within the hold period.

Printing: £0.75 per page for double-sided colour A4 documents. Name tag printing available on hotel-branded place cards. Coffee machine can be provided for free-flow coffee instead of flask service. Lectern available for £60 inc VAT. Minimum spend options available for drinks (£500-£600 inc VAT recommended for flexibility).

External AV suppliers allowed but must provide PAT test forms, public liability insurance, and RAMS (Risk Assessment Method Statement) forms. Clients can bring materials like roll-up banners, tablecloths, pens, and notebooks directly on event day. Delivery arrangements must be coordinated in advance with specific dates, times, and contact person details provided to the concierge team.
