Frequently asked questions

What are the room hire rates and minimum spend requirements for different spaces?
Room hire varies significantly by space and event type. The Main Hall costs £1,500-£4,500 + VAT with minimum F&B spend of £1,800-£2,000 + VAT. Room 201 costs £50-£76 + VAT per person (DDR packages) with 50-60 person minimums. Smaller rooms like Room 204 cost £350-£700 + VAT, while combined rooms 204&205 cost £850-£1,100 + VAT with £1,500 + VAT minimum catering spend. Weekend events incur an additional £500 + VAT staff fee.
What capacity limits apply to each event space and seating style?
The Main Hall accommodates up to 300 people theatre style or 200 cabaret style. Room 201 holds 100 theatre style or 72 cabaret style. Combined rooms 204&205 seat 100 theatre style, while Room 204 alone seats 20 boardroom style. Room 101 accommodates 100 theatre style or 72 cabaret style, and Room 105 holds up to 50 cabaret style.
What are the payment terms and deposit requirements?
A 10% deposit is required in advance via card payment for bookings. For smaller events, 100% prepayment is required based on contracted minimums. Any additions after the initial contract are invoiced separately or added to the final bill if close to the event date.
What security requirements and additional fees apply for evening events?
Security is mandatory for events running past 19:00, charged at £25 per hour + VAT with a minimum 4-hour shift. Evening staffing is also required at £25 + VAT per hour. These costs are in addition to room hire and catering minimums.
What catering packages and pricing are available?
DDR packages range from £50-£89 + VAT per person including room hire, AV, and full catering (arrival refreshments, breaks, lunch). Drinks receptions cost £20-£28 + VAT per person per hour. Canapés range from £22-£62.50 + VAT per person (4-10 pieces), while bowl food costs £29-£51 + VAT per person. Three-course dinners are £70 + VAT per person.
What AV equipment and technical support is included?
Standard AV includes 85" LCD monitors, lectern with microphone, Mini PC for presentations, Wi-Fi, and AV support. The Main Hall features PA system, 2x LCD projectors, multiple microphone types (lectern, roving, lapel, tabletop), infra-red hearing system, and dedicated AV technician. All spaces include basic presentation setup and technical support.
What are the minimum group sizes and associated restrictions?
Most DDR packages require minimum attendee numbers: Room 201 requires 50-60 people minimum, Room 101 requires 50-80 people minimum, and the Main Hall requires 100 people minimum. Smaller rooms like Room 204 have no minimum but carry mandatory catering spends that effectively create group size requirements.
What timing restrictions and access hours apply?
DDR packages typically run 8am-5pm or 9am-5pm. Evening hire starts from 18:00. Access is provided from the contracted start time, with room setup completed prior to arrival. Events requiring security must end by a reasonable hour, and weekend events incur additional staffing fees.
What bar services and alcohol policies are in place?
House wine, beer, and soft drinks packages cost £20-£55 + VAT per person per hour. Prosecco upgrades add £3-£8 + VAT per person. Cashless or account bars require £750 + VAT minimum spend - if not reached, the shortfall is added to your bill. All alcohol service requires appropriate timing allocations and may need extended bar arrangements.
Are there any day-of-week pricing differences or restrictions?
Monday and Friday DDR promotions offer reduced rates (£50 + VAT per person vs standard rates). Weekend events incur an additional £500 + VAT staff fee. Some rooms may have different availability or pricing depending on the day, and multi-day bookings blocking large rooms require higher minimum daily catering spends (£1,000 + VAT per day).
