Afternoon packages run 12:00-16:00 with organizer access from 11:30. Evening packages run 18:30-23:00 with organizer access from 18:00. Day packages for conferences run 08:30-16:30 with access from 07:30. Guests can enter 30 minutes before official start times for setup.
What payment terms and booking requirements apply?
100% deposit payment is required to confirm booking, with remaining balance due 3 months prior to the event. Payment can be made via bank transfer or credit card (AMEX incurs additional surcharge). Bookings operate on a first-come, first-served basis with no holds without payment.
What are the food and beverage ordering requirements and restrictions?
All catering orders including special dietary requirements must be pre-ordered 10 working days prior to the event. Final guest numbers are required 5 working days before the event date. Three-course menus start from £75 + VAT per person with the whole party having the same starter, main, and dessert.
What AV equipment is included and what are the costs for additional requirements?
Built-in speakers for background music are included in all rooms. Additional AV requirements are provided by preferred supplier Prelude Entertainment. If bringing your own AV equipment, a supplement of £350 + VAT applies. An on-site engineer can be arranged to ensure presentations run smoothly.
Are there restrictions on external suppliers and what approval processes exist?
Searcys is the in-house catering company and provides all food and drinks. External caterers require approval and details must be forwarded in advance. Dry hire is available at £18,000 + VAT with 4 hours kitchen access, venue hire from 2pm-10pm. All guest entries must be pre-booked with ID required upon arrival.
What room combinations are available for larger events and conferences?
Level 38 offers multiple room combinations including Alto-Cumulus and Cirrus-Stratus rooms. For conferences, exclusive hire of Level 38 costs £7,000 + VAT with £9,000 + VAT minimum spend, providing welcome drinks area, main conference space, reception area, and office/green room. Single breakout rooms cost additional £2,500 + VAT, double rooms £3,500 + VAT.
What are the booking contract requirements and cancellation terms?
Contract requires event name, date, company name, billing address, signatory's full contact details, and preferred payment method. Service charge can be contracted in advance or presented at end of function if requested. All bookings require signed contract and deposit payment to secure the space.
What types of events are not permitted at the venue?
The venue operates as a high-end corporate and private dining space. Certain event types are declined without specific details provided. Children's events and some cultural/community events may not be suitable. All event proposals are reviewed individually to ensure they align with the venue's positioning and capabilities.
