All room hire includes projector and screen, flipchart with markers, pads/pens/paper, Wi-Fi, signage, dedicated event planner, and dedicated event manager on the day.
What are the Day Delegate Rate packages and minimum numbers required?
DDR packages range from £69-£99 per person incl VAT depending on date and group size. Minimum delegate requirements vary: 12-16 delegates for smaller rooms like Prescot Suite, 250+ delegates for main Trinity room, and up to 400 minimum for large events. DDR includes room hire, arrival tea/coffee with pastries, mid-morning and afternoon refreshments, 2-course buffet lunch, AV equipment, stationery, and dedicated staff.
What are the capacity limits for different room layouts in the Business space?
Trinity room accommodates maximum 237 in classroom layout, while Trinity & Goodmans combined can hold up to 700 in theatre style or 420 in cabaret. Syndicate rooms America and Ludgate each hold maximum 36 in boardroom style. Prescot Suite accommodates 18 boardroom, 50 theatre, 32 cabaret, or 15 U-shape layout.
How does the booking hold system work and what are the deadlines?
Venues operate on a 'Joint 1st option' system where multiple clients can hold the same space simultaneously. The first client to return a signed contract within three working days secures exclusive use. Hold periods typically require decisions by end of business day on specified dates, and bookings are automatically released if no response is received by stated deadlines.
What are the mandatory AV costs and technician requirements?
Basic projector and screen are included in room hire. Additional AV costs include: PA system £250-£950 incl VAT, microphones £66 each incl VAT, AV technician £550-£648 incl VAT (maximum 8 hours, mandatory when booking 2+ microphones), external AV £750 incl VAT, and lectern £64 incl VAT. Owl Lab for hybrid meetings costs £300 incl VAT.
What catering spaces are available and are there minimum spend requirements?
Catering is served in Foyer A & B and Atrium spaces outside meeting rooms. Some spaces have minimum spend requirements: Harpley suite requires £4,500 incl VAT minimum spend on food & beverages, with shortfall allocated to room hire if not met. Refreshment spaces include dedicated tables for your meeting only.
What are the standard operating hours and setup access times?
Standard event hours are typically 09:00-17:00, with some flexibility for 08:30-17:30. Complimentary setup access is usually from 8am or 10am on event day. Extended setup from 7pm the night before costs £10,000, and de-rig after 17:30 until 23:00 costs an additional £10,000.
Are there any restrictions on external suppliers or special requirements?
External caterers must provide comprehensive documentation including employers liability insurance (minimum £5 million per incident), public liability insurance (minimum £5 million), health and safety documents, HACCP certification, hygiene certificates, and food safety training records for all staff. The venue has use of kitchen facilities available for approved external caterers.
What happens if the venue needs to change or cancel my booking?
The venue reserves the right to change meeting spaces subject to availability, and rates may be reassessed if requirements change. If another client adds rooms to existing events, previously available spaces may become unavailable. The venue will attempt to offer alternative dates or spaces when possible.
How far in advance should bookings be made and what's the enquiry closure policy?
Bookings should be made well in advance as popular dates fill quickly. If no response is received within specified timeframes (typically by 3pm on stated deadline dates), enquiries are automatically closed and space is released. Rates and availability may be reassessed if rebooking after closure.
