Frequently asked questions

Room hire rates vary by space size and demand, ranging from £450-£3,150 per day for different meeting rooms. All quotes are valid for 7 days only, after which the space is automatically released if not confirmed. Commission of 10% is paid on gross rates to agents.

Basic room hire includes complimentary WiFi for all delegates, still and sparkling mineral water, 85-inch TV with HDMI cable, one flipchart with pads and pens, and VAT. Some rooms also include screen and LCD projector depending on the space.

Tea and coffee without snacks costs £4 per person per serving, tea/coffee with snacks £7 per serving, unlimited tea/coffee throughout the day £17.50 per person, sandwich lunch £17.50 per person, and restaurant lunch £29 per person. Day Delegate Packages start from £75-£85 per person with minimum numbers required.

Studio 1 accommodates up to 100 people in theatre setup, The Arena holds up to 350 people theatre style or 162 with round tables, and Remix 1+2 can accommodate up to 200 people in theatre setup or 135 people in cabaret setup (9 people per table). Smaller meeting rooms typically hold 10-50 people depending on layout.

PA systems cost from £650-£750, microphones from £90-£100 each, and AV technicians from £650 per day. Large conference live streaming equipment costs from £3,300-£3,500 per day. If bringing external AV equipment, you must provide PAT test, RAM test, and liability insurance forms.

External catering requires at least two weeks advance notice for necessary approvals. For simple items like sandwiches, you may only need to sign a form confirming you won't need kitchen access. Short notice requests (less than two weeks) for external catering are typically declined.

Initial proposals are held as 'First Option' for 7 days, after which spaces are automatically released if not confirmed. Some bookings may be placed on 'Shared Option' where multiple clients can hold the same dates, with the first to sign a contract securing the space.

Yes, some larger spaces have minimum food and beverage spend requirements. For example, Remix 1+2 has a minimum spend of £2,500-£4,000 on food and beverage in addition to the room hire fee, depending on the event type and size.

Events typically run during standard business hours with setup time included. The venue has 17 meeting rooms with private entrance and lift access, completely separate from the hotel. Access times can be arranged from early morning (7am) to late evening depending on requirements.

If you don't respond within the quote validity period (typically 7 days), your booking is automatically released. Any changes to event specifications may result in requoting. The venue requires full contact details including company name, address, phone number, and email to process bookings.
