Frequently asked questions

Room hire rates vary by space size and demand, ranging from £450-£3,150 per day for different meeting rooms. All quotes are valid for 7 days only, after which the space is automatically released if not confirmed. Commission of 10% is paid on gross rates to agents.

Basic room hire includes complimentary WiFi for all delegates, still and sparkling mineral water, 85" TV with HDMI cable, one flipchart with pads and pens. All rates are inclusive of VAT.

Tea and coffee without snacks costs £4 per person per serving, tea/coffee with snacks £7 per serving, unlimited tea/coffee throughout the day £17.50 per person, sandwich lunch £17.50 per person, and restaurant lunch £29 per person. Day Delegate Packages start from £75-£79 per person including arrival refreshments, mid-morning break, lunch, afternoon break, room hire, and basic AV equipment.

The Arena can accommodate up to 350 people in theatre style or 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style or 135 in cabaret setup (9 people per table). Studio spaces typically accommodate 100 people maximum in theatre style.

PA system costs £540-£750, microphones from £90-£100 each, and large conference live streaming equipment starts at £3,300 per day. If bringing external AV equipment, you must provide PAT test forms, RAM test, and liability insurance documentation.

External catering requires at least two weeks advance notice for approval. For simple items like sandwiches, you only need to sign a form confirming you won't need kitchen access. All external catering must be approved through the venue's process.

Initial proposals are held for 7 days maximum before automatic release. Bookings can be placed on 'shared option' meaning multiple clients may be holding the same dates, with the first to sign a contract securing the space. Rates are typically valid for 1-2 weeks depending on the booking.

Yes, some spaces require minimum food and beverage spend. For example, Remix 1+2 has a minimum spend of £2,500 on food and beverage in addition to the room hire rate. Day Delegate Packages have minimum guaranteed numbers (typically 90-250 people depending on the package).

The Arena (23m x 18m) can accommodate up to 30 exhibition stands and costs £5,000-£6,500 for dry hire. Breakout rooms are available from £500-£1,500 per room. Power supply and space for standing banners can be provided for exhibition tables.

Events typically run during standard business hours with setup time included. Some spaces may have availability restrictions during high-demand periods like October, which can result in higher costs. Access times and setup requirements should be confirmed when booking.
