Frequently asked questions

Provisional bookings are typically held for 7 days from the quote date. If you don't confirm and sign a contract within this timeframe, the space will be automatically released. Some quotes may have shorter validity periods of 2 days, so check your specific proposal carefully.

Room hire varies by space: smaller meeting rooms start from £450-£550 per day, mid-size spaces like Studio 1 are £1,350 per day (reduced from £1,700), and larger spaces like Remix 1+2 are £2,950-£3,150 per day. All rates include WiFi, mineral water, 85" TV with HDMI cable, and 1 flipchart, with VAT included.

Tea and coffee without snacks costs £4 per person per serving, tea/coffee with snacks is £7 per person per serving, unlimited tea/coffee throughout the day is £17.50 per person, sandwich lunch is £17.50 per person, and restaurant lunch is £29 per person. Day Delegate Packages start from £75-£85 per person including room hire, refreshments, lunch, and AV equipment.

The Arena accommodates up to 350 people in theatre style or 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style or 135 in cabaret setup (9 people per table). Studio 1 accommodates up to 100 people in theatre style, while smaller meeting rooms typically hold 10-12 people in boardroom style.

Basic AV (85" TV with HDMI, screen, projector, flipchart) is included in room hire. Additional equipment costs extra: PA system from £540-£750, microphones from £90-£100 each, AV technician from £650 per day, and large conference live streaming equipment from £3,300-£3,500 per day.

External catering requires at least two weeks advance notice for approval, and you'll need to sign a form if bringing simple items like sandwiches. For external AV equipment, you must provide PAT test certificates, RAM test, and liability insurance documentation for each item.

Some larger spaces have minimum food and beverage spends (e.g., £2,500 for Remix 1+2, £4,000 for evening events in The Arena). Day Delegate Packages have minimum guaranteed numbers (typically 90-250 people depending on the package). Commission is paid at 10% on gross rates.

October availability is very limited and results in higher costs due to demand. December rates may be higher during peak season. The venue cannot accommodate bookings with very short notice (less than 2 weeks), particularly for events requiring external catering approvals.

The Arena (23m x 18m) can accommodate up to 30 exhibition stands with 2m x 3m or 3m x 2m table configurations. Remix 1+2 can accommodate up to 15 exhibition stands. Multiple breakout rooms are available, with Studios 3, 6, 8, and 10 costing approximately £500-£1,000 per room per day.

After receiving a quote, you have 7 days to confirm (unless specified otherwise). You'll need to provide company details including full name of contract signatory, email, phone number, company name and address. The venue requires a signed contract to secure definite booking status, and spaces may be offered on shared option to multiple clients until contracted.
