Provisional options are typically held for 7 days, after which the space is automatically released if not confirmed. Some quotes mention rates being valid for 2 days to 2 weeks depending on the booking. You must confirm and sign a contract within the hold period to secure your space.

Room hire varies significantly by space and capacity. Studio 1 costs £1,350 per day (reduced from £1,700) for up to 100 people theatre style. The Arena costs £5,000 dry hire for up to 350 theatre or 162 with round tables. Remix 1+2 ranges from £2,950-£3,700 per day for up to 200 people, with some quotes showing minimum food and beverage spends of £2,500.

Day Delegate Packages start at £75-£85 per person (minimum 90-250 people) including arrival refreshments, mid-morning break, lunch, afternoon break, room hire, and basic AV. Individual items include unlimited tea/coffee at £17.50 per person, sandwich lunch at £17.50 per person, restaurant lunch at £29 per person, and canapes from £16 per person for 4 items.

The Arena accommodates up to 350 people theatre style or 162 with round tables. Remix 1+2 holds up to 200 people in various configurations or 135 in cabaret setup (9 people per table). Studio 1 accommodates up to 100 people theatre style, while smaller studios handle 10-40 people depending on the room and setup.

Basic room hire includes 85" TV with HDMI cable, screen, LCD projector, and flipchart. Additional AV is hired externally from trusted suppliers: PA systems from £650-£750, microphones from £90-£100 each, and large conference live streaming equipment from £3,300-£3,500 per day. If bringing your own AV, you need PAT test, RAM test, and liability insurance forms.

External catering requires at least two weeks notice for necessary approvals. For simple items like sandwiches, you may only need to sign a form confirming you won't need kitchen access. External catering is not permitted with short notice bookings and may require additional fees or restrictions.

Some spaces have minimum food and beverage spends, such as £2,500 for Remix 1+2. Day Delegate Packages have minimum guaranteed numbers (typically 90-250 people depending on the package). Exhibition spaces like the Arena may have additional minimum requirements for stand bookings.

Basic room hire includes complimentary WiFi access, still and sparkling mineral water, 85" TV with HDMI cable, one flipchart, pads and pens. All rates are inclusive of VAT. Some packages also include screen, LCD projector, and basic setup for the specified capacity.

Shared option means multiple clients may be holding the same dates and space simultaneously. The first client to request and sign a contract secures the space on a definite basis. This gives multiple bookers the opportunity to confirm while the venue maximizes booking potential.

Commission is paid at 10% on gross rate for bookings made through agents. Specific payment terms vary by booking but quotes typically remain valid for 7 days to 2 weeks. Contracts must be signed within the option period to secure confirmed bookings.
