Frequently asked questions

Room hire rates vary by space and date, ranging from £450-£6,500 per day. For example, Studio 1 costs £1,350 per day (reduced from £1,700), while The Arena costs £5,000 for dry hire. All room hire includes complimentary WiFi, mineral water, 85" TV with HDMI cable, and 1 flipchart with pads and pens. VAT is included in all quoted rates.

Initial proposals are typically held for 7 days as "First Option" before being released or moved to shared option. Some bookings may be placed on "Shared Option" immediately, meaning multiple clients can hold the same dates until one confirms with a signed contract. The venue requires at least two weeks' notice for external catering approvals.

The Arena accommodates up to 350 people in theatre style or 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style or 135 in cabaret setup (9 people per table). Studio spaces typically accommodate 100 people maximum in theatre style. Cabaret setups generally reduce capacity compared to theatre style arrangements.

Day Delegate Packages start at £75-£85 per person (minimum 90-250 people depending on room). Individual catering includes unlimited tea/coffee at £17.50 per person, sandwich lunch at £17.50 per person, and restaurant lunch at £29 per person. Some larger spaces like Remix 1+2 require minimum food and beverage spend of £2,500-£4,000 in addition to room hire.

Basic AV (screen, LCD projector, flipchart) is included with room hire. Additional equipment costs include PA system from £650-£750, microphones from £90-£100 each, and AV technician from £650 per day. Large conference live streaming equipment costs from £3,300-£3,500 per day. External AV suppliers are permitted but require PAT test, RAM test, and liability insurance documentation.

External catering is permitted but requires at least two weeks' advance notice for approvals and a signed waiver form. Simple items like sandwiches may be allowed with shorter notice and just require a signed form stating no kitchen access is needed. The venue cannot accommodate external catering requests with very short notice (less than 24 hours).

The Arena (23m x 18m) can accommodate up to 30 exhibition stands and costs £6,500 for room hire. Exhibition stands are typically 2m x 3m or 3m x 2m tables. Power supply to tables and space for standing banners behind tables can be arranged. Remix 1+2 can accommodate up to 15 exhibition stands in a reception layout.

Events typically run during standard business hours with some flexibility for evening events. Setup time should be factored into booking duration, especially for events requiring live bands, DJ equipment, or extensive AV setup. The venue has 17 meeting rooms total, so multiple spaces can be booked simultaneously for events requiring breakout rooms or separate areas.

The venue pays 10% commission on gross rates for bookings made through agents or intermediaries. This commission is calculated on the total booking value including room hire, catering, and additional services. Commission terms are clearly stated in proposals sent to booking agents.

If no response is received within the option period, bookings are automatically released from the system. The venue reserves the right to release or offer space on shared option to other bookers if events aren't confirmed and contracted within the specified timeframe. Clients can request re-quotes if they decide to proceed after their original option has expired.
