Room hire rates vary by space and date, ranging from £450-£6,500 per day. For example, Studio 1 costs £1,350 per day (reduced from £1,700), while The Arena costs £5,000 for dry hire. All room hire includes complimentary WiFi, mineral water, 85'' TV with HDMI cable, and 1 flipchart with pads and pens. VAT is included in all quoted rates.
How long are booking options held and what are the payment terms?
Initial proposals are typically valid for 7 days, after which spaces are automatically released if not confirmed. Some bookings may be placed on 'shared option' meaning multiple clients can hold the same dates until one signs a contract. Commission is paid at 10% on gross rates for applicable bookings.
What are the capacity limits for different room setups?
The Arena accommodates up to 350 people in theatre style or 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style or 135 in cabaret setup (9 people per table). Studio spaces typically accommodate 45-100 people depending on the specific room and layout chosen.
What are the catering options and pricing?
Day Delegate Packages start at £75-£85 per person (minimum 90-250 people depending on room) including arrival refreshments, mid-morning break, lunch, afternoon break, and room hire. Individual catering options include: unlimited tea/coffee £17.50 per person, sandwich lunch £17.50 per person, restaurant lunch £29 per person, and various breakfast items from £3.50-£22 per serving.
What audio-visual equipment is available and what are the costs?
Basic AV (screen, LCD projector, flipchart) is included with room hire. Additional equipment costs: PA System from £650-£750, microphones from £90-£100 each, AV technician from £650 per day. Large conference live streaming equipment with up to 5 cameras costs £3,300-£3,500 per day. External AV equipment is permitted with PAT test, RAM test, and liability insurance forms.
Are there minimum spend requirements for food and beverage?
Yes, some spaces have mandatory minimum spends. For example, Remix 1+2 requires a minimum £2,500 food and beverage spend in addition to the £3,150 room hire fee. The Arena has a minimum spend of £4,000 for catering when used for evening events.
What are the policies for external catering and setup requirements?
External catering requires at least two weeks advance notice for approval. A signed form is required for bringing outside food like sandwiches. Kitchen access may require additional arrangements. The venue typically requires advance notice for any external suppliers or special setup requirements.
What are the timing restrictions and access hours?
Events typically run during standard business hours with some flexibility for evening events. Setup time is usually included in the hire period. Access can be arranged from early morning (7am mentioned for some events) through late evening depending on the event type and space availability.
Are there any restrictions on event types or activities?
The venue accommodates various corporate events, conferences, workshops, and private celebrations. Live music events and DJ setups are permitted. Some spaces may have specific restrictions - for example, stages are not recommended for certain event spaces like Remix 1+2.
