Frequently asked questions

Room hire rates vary by space and date, ranging from £450-£6,500 per day. For example, Studio spaces start at £450-£1,350 per day, while larger spaces like The Arena cost £5,000-£6,500 per day. Base hire includes complimentary WiFi, still and sparkling mineral water, 85" TV with HDMI cable, and 1 flipchart with pads and pens. All rates are inclusive of VAT.

The Arena accommodates up to 350 people in theatre style or 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style or 135 in cabaret setup (9 people per table). Studio spaces accommodate up to 100 people in theatre style. Smaller meeting rooms can handle 10-50 people depending on the specific room and layout.

Tea and coffee without snacks costs £4 per person per serving, while tea/coffee with snacks is £7 per serving. Unlimited tea and coffee throughout the day is £17.50 per person. Lunch options include sandwich lunch at £17.50 per person, working buffet at £24.50 per person, and restaurant lunch at £29 per person. Day Delegate Packages start at £75-£85 per person including arrival refreshments, breaks, lunch, room hire, and AV equipment.

Initial proposals are typically valid for 7 days, after which spaces are automatically released if not confirmed. Some bookings may be placed on "shared option" meaning multiple clients can hold the same dates until one signs a contract. The venue requires at least two weeks' notice for external catering approvals and requests booking confirmation within specified timeframes to secure the space.

Basic AV (85" TV with HDMI, screen, LCD projector, flipchart) is included in room hire. Additional equipment costs include PA system from £650-£750, microphones from £90-£100 each, and AV technician from £650 per day. Large conference live streaming equipment with up to 5 cameras costs £3,300-£3,500 per day. External AV equipment is permitted but requires PAT test, RAM test, and liability insurance documentation.

External catering is permitted but requires at least two weeks' notice for approval and a signed form acknowledging the arrangement. For simple items like sandwiches, only a form needs to be signed without kitchen access. The venue cannot accommodate external catering requests with short notice (less than two weeks) and may have minimum spend requirements on food and beverage in certain spaces.

Bookings are automatically released if not confirmed within the specified timeframe (typically 7 days for first option, varies for shared options). Any changes to the original event request may result in requoting. The venue reserves the right to release spaces or offer them on shared option to other bookers if confirmation and contracts are not received within the validity period.
