Frequently asked questions

Room hire rates vary by space size and demand, ranging from £450-£2,950 per day. Base hire includes complimentary WiFi, still and sparkling mineral water, 85'' TV with HDMI cable, and 1 flipchart with pads and pens. All rates are inclusive of VAT.

Initial proposals are typically valid for 7 days, though some may be held for shorter periods (2 days to 2 weeks depending on demand). If you don't confirm within this timeframe, the space is automatically released and becomes available to other clients. You can request a new quote if the space is still available.

Tea and coffee without snacks costs £4 per person per serving, while tea/coffee with snacks is £7 per serving. Unlimited tea and coffee throughout the day is £17.50 per person, sandwich lunch is £17.50 per person, and restaurant lunch is £29 per person. Day Delegate Packages start from £75-£85 per person including arrival refreshments, breaks, lunch, room hire, and basic AV equipment.

Studio spaces accommodate up to 100 people in theatre style, while larger spaces like Remix 1+2 can hold up to 200 in theatre or 135 in cabaret setup (9 people per table). The Arena can accommodate 350 in theatre style or 162 with round tables. Boardroom setups are available for smaller groups of 10-12 people.

Basic AV (85'' TV with HDMI, screen, LCD projector, flipchart) is included in room hire. Additional equipment from trusted AV partners includes PA systems from £650-£750, microphones from £90-£100 each, and AV technicians from £650 per day. Large conference live-streaming equipment costs £3,300-£3,500 per day.

Yes, you can supply your own AV equipment at no additional cost. However, each item must be provided with a PAT test certificate, RAM test, and liability insurance documentation. This allows you to use external suppliers while meeting the venue's safety requirements.

External catering requires at least two weeks' notice to secure necessary approvals. For simple items like sandwiches, you may only need to sign a form, but full external catering requires advance planning. The venue cannot accommodate external catering requests with short notice (less than two weeks).

Yes, some larger spaces have minimum food and beverage spend requirements. For example, certain room packages include minimum spends of £2,500-£4,000 depending on the space and event type. Day Delegate Packages typically have minimum guaranteed numbers (e.g., 90-250 people depending on the package).

The venue pays 10% commission on the gross rate for bookings made through agents or intermediaries. This commission is calculated on the total booking value before any discounts or reductions are applied.

Some dates are held on 'shared option,' meaning multiple clients may be holding the same space and dates simultaneously. The first client to request and sign a contract secures the space on a definite basis. This system allows multiple parties to consider the same dates while the venue manages availability.
