Frequently asked questions

Room hire rates vary significantly based on dates and demand, ranging from £450-£3,150 per day for meeting rooms, with some spaces offering reduced rates (e.g., Studio 1 at £1,350 reduced from £1,700). All room hire includes complimentary WiFi, mineral water, 85'' TV with HDMI cable, and 1 flipchart. VAT is included in all quoted rates.

Initial proposals are typically valid for 7 days, after which spaces are automatically released if not confirmed. Some bookings may be placed on 'shared option' meaning multiple clients can hold the same dates until one signs a contract first. Commission of 10% is paid on gross rates where applicable.

Tea and coffee without snacks costs £4 per person per serving, while tea/coffee with snacks is £7 per person. Unlimited tea and coffee throughout the day is £17.50 per person, sandwich lunch is £17.50 per person, and restaurant lunch is £29 per person. Day Delegate Packages start from £75-£85 per person including arrival refreshments, mid-morning break, lunch, afternoon break, room hire, and basic AV equipment.

The Arena can accommodate up to 350 people in theatre setup or 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style or 135 in cabaret setup (9 people per table). Studio spaces typically accommodate 40-100 people depending on the specific room and layout chosen.

Basic AV (85'' TV with HDMI, screen, LCD projector, flipchart) is included in room hire. Additional equipment costs extra: PA system from £650-£750, microphones from £90-£100 each, AV technician from £650 per day, and large conference live streaming equipment from £3,300-£3,500 per day with up to 5 cameras.

External catering requires at least two weeks advance notice for approval, and you must sign a form if bringing simple items like sandwiches. For external AV equipment, you must provide PAT test certificates, RAM test, and liability insurance forms for each item brought on-site.

Some larger spaces have minimum food and beverage spends (e.g., £2,500 for Remix 1+2, £4,000 for evening events). Day Delegate Packages often have minimum guaranteed numbers (e.g., 90 people minimum for £79 per person rate, 250 people minimum for £75 per person rate).

Events typically run during standard business hours with setup time included. Evening events may have different pricing structures. The venue requires specific details about event purpose, timings, layout requirements, and company information before confirming bookings.

Bookings are automatically released if not confirmed within the proposal validity period (typically 7 days). Any changes to confirmed event requests may result in requoting. The venue reserves the right to release spaces or offer them on shared option to other bookers if contracts aren't signed promptly.

The venue requires full contact details including name of contract signatory, email address, phone number, company name, and company address before confirming any booking. These details must be provided to save the booking in their system and proceed with contracting.
