Frequently asked questions

Room hire rates vary by space and date: Studio rooms start from £450-£550 per day, Remix 1+2 costs £2,950-£3,700 per day, and The Arena is £5,000 per day. Base rates include complimentary WiFi, still and sparkling mineral water, 85" TV with HDMI cable, and 1 flipchart. All rates are inclusive of VAT.

The Arena accommodates up to 350 people in theatre style or 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style or 135 in cabaret setup (9 people per table). Studio rooms typically accommodate up to 100 people in theatre style, with smaller studios suitable for 10-40 people depending on layout.

Initial proposals are typically valid for 7 days, after which spaces are automatically released if not confirmed. Some bookings may be placed on 'shared option' meaning multiple clients can hold the same dates until one signs a contract. The venue requires at least two weeks' notice for external catering approvals.

Day Delegate Packages start from £75-£79 per person (minimum 90-250 people) including arrival refreshments, mid-morning break, lunch, afternoon break, and room hire. Individual items include: unlimited tea/coffee £17.50 per person, sandwich lunch £17.50 per person, restaurant lunch £29 per person, and classic canapés £16 for 4 items or £23 for 6 items per person.

Basic AV (screen, projector, flipchart) is included in room hire. Additional equipment costs: PA system from £650-£750, microphones from £90-£100 each, and AV technician from £650 per day. Large conference live streaming equipment costs £3,300-£3,500 per day. External AV equipment is permitted but requires PAT test, RAM test, and liability insurance forms.

External catering is permitted but requires at least two weeks' notice for approval and a signed form. Simple items like sandwiches may be allowed with shorter notice. The venue cannot accommodate external catering requests with very short notice (less than 24 hours) and kitchen access is not provided for external caterers.

Minimum food and beverage spends apply to certain spaces: Remix 1+2 has a £2,500 minimum spend, and some evening events require minimum spends of £4,000. Day Delegate Packages have minimum guaranteed numbers (typically 90-250 people depending on the package and space).

The venue pays 10% commission on gross rates for bookings made through agents or intermediaries. This commission structure is consistently applied across different room types and packages.

Setup times and restrictions vary by event type and space. The venue can accommodate events from early morning (7am access mentioned) to late evening (up to midnight for private events). Specific setup requirements and timing should be discussed during the booking process as they may affect pricing.

The Arena (23m x 18m) can accommodate up to 30 exhibition stands with 2m x 3m or 3m x 2m table configurations. Remix spaces can handle up to 15 exhibition stands. Multiple breakout rooms are available including Studios 3, 6, 8, and 10, with hire costs around £500-£1,500 per room depending on size and requirements.
