Frequently asked questions

Room hire rates vary by space and date, with examples including £450-£550 per day for smaller meeting rooms (10-12 people) and £2,950 per day for larger spaces (50 people cabaret). Base rates include complimentary WiFi, still and sparkling mineral water, 85'' TV with HDMI cable, and 1 flipchart. All rates are inclusive of VAT.

Initial proposals are typically valid for 7 days, after which spaces are automatically released if not confirmed. Some bookings may be placed on 'shared option' meaning multiple clients can hold the same dates until one signs a contract first. Commission is paid at 10% on gross rate for confirmed bookings.

Tea and coffee without snacks costs £4 per person per serving, while tea/coffee with snacks is £7 per person. Unlimited tea and coffee throughout the day is £17.50 per person, sandwich lunch is £17.50 per person, and restaurant lunch is £29 per person. Day Delegate Packages start from £75-£85 per person including arrival refreshments, mid-morning break, lunch, afternoon break, room hire, and basic AV equipment.

Basic AV (85'' TV with HDMI, screen, LCD projector, flipchart) is included in room hire. Additional equipment includes PA systems from £650-£750, microphones from £90-£100 each, and AV technicians from £650 per day. Large conference live-streaming equipment costs from £3,300-£3,500 per day. External AV suppliers are permitted but require PAT test, RAM test, and liability insurance forms.

The Arena can accommodate up to 350 people in theatre style or 162 with round tables. Remix 1+2 can hold up to 200 people in theatre style or 135 in cabaret setup (9 people per table). Studio spaces typically accommodate 40-100 people depending on the specific room and layout chosen.

External catering requires at least two weeks advance notice for approval. For simple items like sandwiches, a signed form may be sufficient without kitchen access. External catering is not permitted for last-minute bookings and all external food providers must meet venue approval requirements.

Some larger spaces have minimum food and beverage spends, such as £2,500 for Remix 1+2 room hire of £3,150. Exhibition spaces like the Arena cost £5,000-£6,500 for dry hire. PA systems and microphones may be mandatory for certain event types, with costs starting from £540-£650.

The venue requires full contact details including company name, address, phone number, and email address for the person signing the contract. Event details needed include timings, delegate numbers, setup requirements, catering needs, and AV requirements. Site visits can be arranged, and detailed proposals are provided based on specific event requirements.

Bookings are automatically released if not confirmed within the proposal validity period (typically 7 days). The venue operates on a first-come-first-served basis for contract signing. Availability varies significantly by date, with October showing limited availability and higher costs due to demand.

Events typically run during standard business hours with examples showing 9am-5pm or 12pm-5pm timings. Setup time may be included in room hire or require additional arrangements. Evening events can extend until midnight with prior arrangement, and access times can be negotiated based on event requirements.
