Room hire rates vary by space and date, ranging from £450-£3,150 per day depending on the room size and demand. Base hire includes complimentary WiFi, still and sparkling mineral water, 85" TV with HDMI cable, and 1 flipchart with pads and pens. All rates are inclusive of VAT.
How long are booking options held and what happens if I don't confirm within the timeframe?
Initial proposals are typically held for 7 days as a "First Option" which gives you exclusive access to the space. If you don't confirm and sign a contract within this period, the space is automatically released and becomes available to other clients. You can request a new quote if the space is still available after release.
What are the catering options and costs for business events?
Catering options include tea and coffee without snacks at £4 per person per serving, tea/coffee with snacks at £7 per person, unlimited tea and coffee throughout the day at £17.50 per person, sandwich lunch at £17.50 per person, and restaurant lunch at £29 per person. Day Delegate Packages start from £75-£79 per person for minimum 90-100 people, including arrival refreshments, mid-morning break, lunch, afternoon break, room hire, and basic AV equipment.
What are the capacity limits for different room setups in the business spaces?
Studio spaces accommodate up to 100 people in theatre setup, while larger spaces like Remix 1+2 can hold up to 200 people in theatre style or 135 people in cabaret setup (9 people per table). The Arena can accommodate up to 350 people in theatre setup but only 162 with round tables.
What audio-visual equipment is available and what are the additional costs?
Basic AV (85" TV with HDMI cable, screen, LCD projector, flipchart) is included in room hire. Additional equipment includes PA systems from £650-£750, microphones from £90-£100 each, and AV technicians from £650 per day. Large conference live streaming equipment with up to 5 cameras costs £3,300-£3,500 per day.
Can I bring my own AV equipment and what documentation is required?
Yes, you can supply your own AV equipment at no additional cost. However, each item must be provided with a PAT test certificate, RAM test, and liability insurance documentation before the event.
What are the policies for external catering and how much notice is required?
External catering requires at least two weeks advance notice to secure necessary approvals. For simple items like sandwiches, you may only need to sign a form, but full external catering requires proper licensing and insurance documentation. What happens with shared option bookings and how do they work?
Shared option means multiple clients may be holding the same dates and space simultaneously. The first client to request and sign a contract secures the space on a definite basis. This gives multiple potential bookers the opportunity to confirm while the venue maximizes booking potential.
