Frequently asked questions

Room hire rates vary significantly by space and date, with examples ranging from £2,880 for smaller rooms like Victoria to £15,120 for the Churchill auditorium. Base prices are quoted excluding VAT (20% additional). All room hire includes standard AV packages with projectors, screens, microphones, sound systems, technicians, and basic furniture setup.

The Churchill can accommodate up to 410 theatre style, while smaller rooms like Albert and Victoria hold fewer guests. Room capacities are strictly enforced and vary by layout - theatre style typically allows maximum capacity while cabaret/round table setups reduce numbers significantly.

Security, porterage, and cleaning services are included during standard operating hours (08:00-18:00). However, events requiring extended hours, additional security, or special services will incur extra charges that are quoted separately based on specific requirements.

No booking is confirmed until a signed contract and deposit payment are received by QEII Centre. All correspondence is subject to contract until formal agreements are executed, and the venue accepts no responsibility for costs incurred before confirmation.

The Centre is closed during August and unavailable for events during this period. Some dates may also be blocked for whole centre events, which prevents individual room bookings on those specific dates.

Standard operating hours are 08:00-18:00, with security, porterage and cleaning included during these times. Events requiring earlier access (such as 06:00 for delegate arrival at 09:00) or later finish times will require additional arrangements and costs.

Standard AV packages include WUXGA projectors, screens, sound systems, wired and radio microphones, lecterns, technicians (08:00-17:30 with breaks), and basic lighting. More complex requirements like live streaming, recording, or additional equipment are available at extra cost.

The venue has in-house catering (QEII Taste by Leith's) and AV services (QEII Live), but policies on external suppliers are not specified in available information. Approval processes and any restrictions on outside vendors would need to be confirmed during the booking process.

The venue offers percentage discounts on room hire rates - examples show 10% discounts being applied. Quotes are structured with separate line items for room hire, AV packages, catering, and additional services, all excluding VAT which is added at 20%.

The venue operates on an option basis system, holding dates while proposals are considered. Given the high demand and limited availability (especially with August closures and whole centre events), early booking is essential, particularly for preferred dates and larger spaces.
