Evening room hire (18:00-22:45) for the Exhibition room and Atrium is £2,140 + VAT with a minimum catering spend of £1,600 + VAT. Full day hire (08:30-17:00) is £1,800 + VAT with a minimum catering spend of £1,200 + VAT. Extensions beyond 17:00 cost an additional £250 + VAT per hour.

What are the capacity limits for different event layouts in the Exhibition room?

The Exhibition room can accommodate up to 100 guests in theatre style, 60 guests in cabaret style, and 40 guests in boardroom style. When combined with the Atrium, the total capacity increases to 155 guests for standing receptions.

Can I bring my own catering or external food and drinks to the venue?

No, external catering is not permitted due to an exclusivity contract with the venue's caterers. Food and drinks cannot be brought in from outside suppliers.

What are the standard hire time slots and can I extend beyond these hours?

Standard time slots are: Full day (08:30-17:00), Half day (08:30-12:30 or 13:00-17:00), and Evening (18:00-22:45). Extensions beyond 17:00 are available at £250 + VAT per hour, and organizer access can begin at 08:30.

What AV equipment is included in the room hire and what additional options are available?

Full use of AV equipment is included in room hire, featuring state-of-the-art user-friendly systems with strong Wi-Fi throughout the building. The venue provides screens, projectors, clickers, HDMI cables, and flipcharts as standard.

What are the payment terms and when are deposits required?

Invoices are payable within 30 days, unless the event takes place within 30 days of the invoice date. A deposit invoice must be paid before the event takes place, with final invoices issued after the event.

Can I add spirits to drinks packages and what are the options for alcohol service?

Yes, spirits can be added to drinks packages. You can either bring your own bottles and pay a corkage fee of £50 + VAT per bottle, or the venue can provide spirits through their catering service with prices available upon request.

Is there any private outdoor space available for guests during events?

No, the venue does not have any private outdoor space available for guests. All event activities must take place within the indoor spaces.

What catering options are available and what are the typical price ranges?

The venue offers various catering options including drinks packages at £26 per person for 1-hour unlimited wine, beer, soft drinks and arrival fizz, tea and coffee at £4.80 per person, and house brownies at £6 per person. Sandwich lunches and salad add-ons are also available with seasonal menu updates.

How far in advance do I need to confirm final event details and dietary requirements?

Final event details including catering requirements and dietary restrictions must be confirmed by 4pm the day before your event at the latest. The catering team can accommodate various dietary requirements including vegetarian, vegan, gluten-free, nut allergies, and other special needs.

What is the booking process and what documents need to be signed?

The booking process involves completing a booking form, receiving and signing a confirmation letter and Terms & Conditions, then paying a deposit invoice. You'll also receive evacuation procedures to familiarize yourself with before the event.

Are there any restrictions on provisional holds and how long can spaces be held?

Spaces can be placed on provisional hold while awaiting client confirmation. The venue contacts clients to either release or confirm held spaces by specified deadlines, typically within a few days to a week depending on demand.
