Room hire varies by space and duration: ground floor rooms (National Grid/David Sainsbury) cost £2,400 + VAT for 9am-5pm with £1,000-£1,250 + VAT minimum catering spend. First floor spaces (Al Qasimi/ERA Foundation) cost £4,600 + VAT for 9am-5pm with £4,000-£4,950 + VAT minimum catering spend. Evening hire (6pm-11pm) costs £2,000-£3,000 + VAT depending on the space.

The Al Qasimi room accommodates up to 180 theatre style, 100 cabaret, or 120 seated dinner. Ground floor rooms (National Grid/David Sainsbury) hold up to 40 cabaret, 80 theatre, or 60 standing reception each. The Michael Bishop Foundation room seats up to 50 guests, while the Rolls Royce room is suitable for smaller gatherings of 30-40 people.

Three outdoor spaces are available: Waterloo West Garden (capacity 150, minimum 100 guests), Stirling Square Garden (capacity 200, minimum 120 guests), and The Terrace (bespoke pricing). Garden packages range from £78-£125 + VAT per person including food, 3 hours unlimited drinks, wet weather backup rooms, and Crown Estate licensing. All gardens must be vacated by 9pm.

All rooms include 86-98″ plasma screens, PA systems, multifunctional LED wall lighting with touchpad controls, and ClickShare/HDMI connectivity. The Al Qasimi room features additional equipment including a high-definition projector with 3m screen, 6m x 2m staging, video camera/audio bar for 4K streaming, and repeater screens. One microphone is complimentary; additional microphones cost £75 + VAT, and extended technical support incurs additional charges.

External catering is not permitted on the premises - all food must be provided by the in-house caterer Company of Cooks. For garden events, fairground rides and inflatables are prohibited, but garden games like giant Jenga are allowed. Music options include unamplified string duos/quartets or outdoor speaker hire for background music.

Standard daytime events run 9am-5pm, with evening events typically 6pm-10pm or 11pm. Garden events must end by 9pm due to Crown Estate requirements. The venue offers 15% discounts on room hire during promotional periods. Crown Estate approval is required for all garden bookings but is described as a speedy process.

Day delegate packages range from £65-£150 + VAT per person including room hire, refreshments, and meals. Reception packages start from £53 + VAT per person for evening events with nibbles and 2-hour drinks packages. The venue offers extensive catering options from sandwiches and canapés to bowl food and formal dinners, with halal options available through their caterer Company of Cooks.

The venue can accommodate last-minute bookings (even same week) but with limited catering options. For garden events, Crown Estate approval is required before confirming bookings. The venue offers provisional holds while clients consider options and is described as flexible in adjusting proposals to meet budgets and requirements.

Mandatory additional costs include VAT on all pricing. Optional extras include manned cloakroom (£500 + VAT), additional microphones (£75 + VAT), extended technical support, hybrid conference packages (from £3,000 + VAT), and lectern hire. Garden events require Crown Estate licensing which is included in garden packages.
