What is the maximum capacity for business events and what happens if I exceed it?
The venue has a maximum capacity limit, and events exceeding this capacity will be declined. When one customer requested numbers above the maximum capacity, they were referred to sister hotels including Hinckley Island and East Midlands Airport locations.
How far in advance must I pay and what happens if payment is late?
Full payment must be made no later than 2 weeks prior to arrival. Without full payment, the venue cannot guarantee access to the meeting rooms. Payment is required before a VAT invoice is provided after the event.
What is the contract signing process and timeline?
After receiving a proposal, you must sign and return the contract and terms and conditions within 3 working days. The venue holds space on a provisional basis for one week while you review the proposal.
What are the Day Delegate Rate packages and pricing?
Day Delegate Rate starts at £42.00 per person with a minimum of 20 people. This includes room hire, refreshment breaks with tea and coffee, LCD projector and screen, flipchart and pens, water, delegate lunch (12:00pm or 1:00pm sitting, 45 minutes maximum), and free Wi-Fi throughout the hotel.
What room hire costs apply beyond the Day Delegate Rate?
Room hire supplements apply for specific requirements. Examples include £500.00 supplement for larger rooms to accommodate expo stands, £600.00 for dinner room supplements, and £750.00-£900.00 for specific room combinations like Room 106 & 108.
What catering options are available for business events?
Private dining is available from £38.00 per person for a 3-course set menu with vegetarian/vegan options, served in a private dining room with pre-orders required. Coffee and refreshments can be provided for morning events (9am-12pm). Additional menu options cost £4.50 per item, per course.
What are the parking arrangements and costs?
Complimentary parking spaces may be offered as an incentive for bookings. One customer was offered 1 complimentary parking space when returning their signed contract promptly.
What audio-visual equipment is included and what costs extra?
Standard AV equipment included in Day Delegate Rate: LCD projector and screen (or plasma screen via VGA/HDMI), flipchart and pens. Additional equipment like PA systems and microphones are available but may incur extra charges, as one customer decided to remove these items from their booking.
What are the meeting room features and accessibility?
Meeting rooms are located on the 1st floor and include disabled access, natural daylight, climate control, and free Wi-Fi access throughout the hotel. All rooms have adjustable air conditioning and water provided.
How does the booking confirmation and follow-up process work?
After contract signing, you'll receive a countersigned contract and final details checklist to complete and return with payment. The venue provides courtesy calls within three working days of proposals and sends function sheets before events.
