Hire Space Supplier Code of Conduct

  • This page shall be read in accordance with the Hire Space standard Supplier Addendum which is accepted by all venues and other event suppliers in order to form part of Hire Space's supply chain. Adherence to this Code of Conduct is a pre-requisite to working as a vendor with Hire Space.
  • It reflects the requirements of Hire Space's clients and Hire Space's expectations in being responsible with regards to social, environmental, legal and ethical responsibilities. As such it may be updated from time to time as the expectations of Hire Space's clients evolve with regards to an ever changing world.

1. Warranties

  • 1.1. Vendor warrants that they:
    • 1.1.1. Comply with all applicable laws; legal regulations, directives and guidelines;
    • 1.1.2. Comply with all applicable health ans safety laws and directives
    • 1.1.3. Has no outstanding claims of tax evasion against them;
    • 1.1.4. Has no outstanding claims of bribery against them;
    • 1.1.5. Does not engage in child labor, or any activity which may be interpreted as such;
    • 1.1.6. Pays legally mandated minmum wages and benefits in law with applicable local laws and regulations
    • 1.1.7. Does not engage in Modern Slavery, or any activity which may be interpreted as such;
    • 1.1.8. Comply with economic sanctions imposed by the United Nations, United States, European Union or the United Kingdom;
    • 1.1.9. Will not seek to provide any benefit to gain an undue business advantage with either Hire Space or the end client which may be interpreted as a bribe;
    • 1.1.10. Holds Public Liability Insurance with cover which is equal to or exceeds £5,000,000;
    • 1.1.11. Holds Employer Liability Insurance with cover which is equal to or exceeds £5,000,000;
    • 1.1.12. Ensure non-discrimination, fair treatment, and promote diversity and inclusion in all employment practices;
    • 1.1.13. identify, plan and issue guidance for potential emergencies;
    • 1.1.14. identify and manage chemicals and other materials that pose a hazard to the environment, to ensure their safe handling, use, storage and disposal;
    • 1.1.15. Respect intellectual property rights, and will conduct technology and know-how transfers in a manner protecting intellectual property rights;
    • 1.1.16. Avoid conflicts of interest, disclose personal ties, prevent bribery, and ensure accurate records and compliance.

2. Environmental

  • 2.1. In the delivery of goods and services under this Agreement, the Vendor commits to:
    • 2.1.1. Minimise waste and then reuse or recycle as much of it as possible;
    • 2.1.2. Minimise energy and water usage in buildings and processes;
    • 2.1.3. Apply the principles of continuous improvement in respect of air, water, noise and light pollution.

3. Confidentiality

  • 3.1. Vendor shall not disclose this Agreement to any third party or refer to this Agreement in any way in any public announcement, press release, advertisement or other form of public statement without the agreement of Hire Space.

4. Communication

  • 4.1. In the delivery of goods and services under this Agreement, the Vendor commits to:
    • 4.1.1. Accurately disclose information regarding their labour, health and safety, environmental practices, business activities, structure, financial situation and performance, in accordance with prevailing industry practices;
    • 4.1.2. Report injuries and damages arising from the provision of the Services or Deliverables as follows, submit a corrective action plan to Hire Space within 48 hours and ensure that all root causes are resolved as soon as practicable;
    • 4.1.3. In the event of emergency or failure, Contractor will immediately notify Hire Space of the details of the incident and the expected impact on the Services;
    • 4.1.4. Obtain, maintain, and complete all necessary health and safety documentation and carry out all appropriate risk assessments at the Event premises;
    • 4.1.5. ensure prominent signage at events, informing guests of recording consent and any relevant Privacy Policy, in complaince with with applicable laws.
