Senate House offers 14 affordable meeting spaces with natural daylight that can host numbers ranging from 8 - 100 people in theatre style. In 2024, our meeting rooms went through significant renovation. With brand new AV equipment, including 85" Samsung screens and one-touch access to Zoom, our meeting rooms are now fully up to date and ready for any sort of event.




Frequently asked questions

Senate House offers 14 meeting rooms accommodating 8-100 people in theatre style. Room hire costs vary by space and duration - for example, the Senate Room costs £1,800 for 08:00-17:00 hire. The Woburn Suite (G22/26) accommodates up to 90 people in theatre layout or 50 in cabaret style. All rooms feature natural daylight and brand new 85" Samsung screens with one-touch Zoom access.

The DDR package costs £70-85 per person and includes venue hire from 08:00-18:00, standard AV package (lectern, laptop, screen, projector, PA system, 2-3 microphones, AV technician assistance), dedicated hospitality space, refreshments on arrival, mid-morning refreshments, sandwich lunch, mid-afternoon refreshments with cake, venue staffing, utilities, furniture setup, free Wi-Fi, and dedicated event and hospitality managers. Additional catering options like the 1-hour Senate drinks package cost £15.95 per person.

Standard venue hire operates from 08:00-18:00. The venue cannot accommodate requests for 06:00 access or very early morning setup times. Weekend events incur additional charges for catering and services outside standard hours, including Saturdays and Sundays.

Standard AV includes laptop/PC, data projector, screen, internet access, and 2-3 microphones with PA system in larger spaces. All meeting rooms feature new 85" Samsung screens with one-touch Zoom access. For additional AV requirements beyond the standard package, you must contact ConferenceCast/Torpedo, the approved UoL AV provider, directly for quotes and specialized equipment.

The venue has limited classroom-style seating capacity. They cannot accommodate 40+ people in classroom format with proper desk space for laptops. Some rooms have small flip-top tables better suited for tablets rather than laptops. For events requiring substantial desk space for writing or laptop use, capacity is significantly reduced from theatre-style maximums.

Catering is provided by Gather and Gather (3-star Sustainable Restaurant Association rating). Options include tea/coffee with biscuits at £4.75+VAT per person, working lunch at £15.50+VAT per person, sharing platters from £19.95+VAT per person, and hot or cold buffet at £23.95+VAT per person. The 1-hour Senate drinks package costs £15.95+VAT per person. All catering is subject to VAT charges.

You must complete attached events application and due diligence forms for review and approval before booking confirmation. These forms are required to handover to a dedicated event manager. The venue can hold dates provisionally while forms are processed, and a dedicated event manager is assigned once booking is confirmed.

Room layouts depend on the specific space - the Woburn Suite offers theatre (up to 90) or cabaret (up to 50) options. The Senate Room features tiered seating suitable for AGMs. Some rooms have fixed furniture arrangements that cannot be modified. Furniture setup is included in hire costs, but significant layout changes may not be possible in all spaces.

The venue frequently has limited availability due to long-term lease bookings that occupy larger spaces. June 2025 shows no availability, and alternative dates offered include Tuesday 5th May 2026, Monday 11th May 2025, and Tuesday 12th May 2025. The venue may decline bookings if suitable space configurations are unavailable for your specific requirements.

Venue hire is VAT inclusive, but catering and security/services charges are subject to VAT. Weekend events incur additional service charges. Security may be required for certain events at additional cost. All pricing is subject to VAT where applicable, and final costs depend on specific requirements and chosen packages.
